POSITION PURPOSE

The Service Center Clerk is responsible for providing customer service, detailed record-keeping, and report generation duties related to daily staffing runs and overtime controls, relying upon regular run picks, the vacation board, sick list, and extra daily board.

*The pay rate for this position is $24.50/hour*

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

ESSENTIAL FUNCTIONS
  • Manage, monitor, and maintain surveillance of all trips, rescheduling bus operators appropriately according to contractual restrictions, governmental requirements, and most cost-effective options.
  • Monitor daily trip assignments, reschedule bus operators appropriately if legality or sickness dictates changes, and promptly notify bus operators of new trip assignments.
  • Work directly with human resources and the training department for pre-planned absences and training events.
  • Managed and maintained accurate and up-to-date daily operations summaries, consistently ensuring all necessary documentation had been provided and effectively recorded.
  • Respond to bus operators’ questions; use appropriate resources to locate answers and make referrals.
  • Issue equipment, necessary information, and required forms to bus operators.
  • Monitor and fill bus operators’ supply pouches.
  • Check bus operators’ equipment, physical condition, and personal appearance before the bus operators begin their run.
  • Sort and distribute bus operators’ corporation and departmental mail, flyers, packages, paychecks, etc.
  • Fill schedule bins and equipment cabinets as needed and maintain adequate supplies in the service.
  • Compile, generate, and create reports for the transportation department.
  • Review accident and occurrence reports to ensure reports are completed correctly.
  • Complete bus damage reports for the vehicle maintenance department.
  • Audit, replace, and store transportation department equipment when turned in.
  • Train new service center clerks.
  • Performs other duties as assigned.
EDUCATION AND EXPERIENCE

To perform this job successfully, an individual must have the following education and experience.
  • Two years of transit experience is required.
  • Valid Indiana commercial driver’s license with passenger and air brake endorsements is preferred.
KNOWLEDGE, SKILLS, AND ABILITIES

The requirements below represent the knowledge, skills, and abilities required to perform each essential duty satisfactorily.
  • Knowledge of recordkeeping and bookkeeping principles and practices.
  • Knowledge of inventory maintenance practices and principles.
  • The ability to communicate information and ideas so others will understand.
  • Proficiency in using a computer and related technology, including proficiency with Microsoft Office, the internet, and spreadsheets and databases.
  • Ability to operate office equipment, including copiers, fax machines, and phones.
  • Basic mathematical abilities (addition, subtraction, multiplication, and division).
  • Ability to operate a two-way communication device.
  • Established written and verbal communication skills; Must understand and follow instructions and adhere to the procedure.
  • Ability to explain operator run types.
  • Ability to prioritize, organize, and manage tasks and time effectively.
  • Ability to accurately organize and maintain paper documents and electronic files.
  • Ability to deal courteously and effectively with supervisors and coworkers.
  • Ability to interact with individuals and groups in person and through phone, e-mail, and written correspondence.
  • Ability to maintain the confidentiality of information and professional boundaries.
PHYSICAL DEMANDS

The physical demands described here represent those an individual must meet to perform the essential functions of this job successfully.
  • Ability to work in a deadline-oriented office environment.
  • Ability to work independently with minimal supervision.
  • Constantly positions self to maintain files in file cabinets.
  • Ability to remain stationary for extended periods without being able to leave the work area.

Ability to work night and weekend shifts and overtime regularly due to assignment shifts being picked bi-annually according to the current Collective Bargaining Agreement.
