Job Description

The Deputy Coordinator serves as the principal investigator for complaints filed under University polices, including but not limited to Title IX, allegations of harassment and discrimination, and retaliation. The position also serves as the designated Campus Safety Survey Administrator. The position performs advanced, investigatory, administrative, and compliance duties supporting federal, state, and local laws on Clery, and Title IX, and other University related functions.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

  • Serves as the principal investigator for complaints. Interviews parties and witnesses, collects evidence, and produces high quality comprehensive investigation reports and other related documents within established timelines. Ensure that supportive and remedial measures are documented, including basis for conclusions that such measures are designed to preserve access to institutional programs and activities.
  • Prepares, publishes, and distributes the Annual Security and Fire Safety Report as required by the Department of Education. Prepares all necessary paperwork and data collection in preparation for this annual report.
  • Manages the institution's Timely Warning Report program as required for Clery compliance. Works in collaboration with the University Police Department to ensure proper classification of police incident reports and with the "Timely Warning" and "Emergency Notification" requirements.
  • Works closely, confers and regularly briefs the Vice Provost and Dean of Students, Provost and Vice President of Academic Affairs, the Vice President of Administration and Finance, Chief of Police, Athletics, and other administrative leadership.
  • Maintains detailed and confidential case files and documents; all case records, reports, and case files to provide data as required by the Clery Act, Title IX, institutional, state, and federal guidelines and policies.
  • Gathers crime and disciplinary referral data from internal and external sources, including local law enforcement agencies and the state police, to report and maintain statistical information on the Clery-related programs; Identifies Clery geography and coordinates requests for crime statistics from law enforcement agencies.
  • Monitors and maintains content for a University Title IX and Clery webpage; provides periodic and annual reports as appropriate. Reviews University policies and procedures to ensure compliance with federal, state, and local laws and regulations.
  • Reviews, monitors, develops and presents associated Title IX training and awareness programs, services, and education for Campus Security Authorities (CSA) and other members or guests of the university community in accordance with legal obligations and best practices.
  • Serves as official records custodian for all Clery Act-associated records. Ensures campus compliance with daily crime and fire logs. Ensures the institution maintains accurate records on security awareness and crime prevention programs and presentations.
  • Continues to educate themselves on federal and state policy that governs the Title IX and Clery process for higher educations. Stays current on changes and updates university policy to align when changes.
  • Represents the university at campus events and meetings and participates in/on various internal and external committees. Serves on appropriate committees.
  • Works collaboratively with other student support focused departments and initiatives to help with victim advocacy, prevention and educational programs.
  • Performs other duties as assigned.

QUALIFICATIONS:

  • Bachelor's Degree from an accredited college or university in a related field (e.g., social work, regulatory compliance, law, student affairs or related field) is ideal (An equivalent combination of relevant education and professional experience demonstrating the required knowledge, skill, and abilities to perform the functions of the position proficiently may be considered).
  • (3) Three or more years of related work in compliance related functions .
  • (2) Two or more years of experience conducting investigations or adjudications in the areas of conduct, employment, civil rights, compliance, or a similar field; or an equivalent combination of relevant education and professional experience demonstrating the required knowledge, skill, and abilities to perform the functions of an investigator proficiently.
  • Bilingual Preferred (English/Spanish with the ability to understand and to make one's self understood to Spanish speaking individuals)
  • Must have valid driver's license, motor vehicle liability insurance and personal injury insurance; or have a self-reliant source of transportation to conduct business on a daily basis
  • Must clear and maintain a favorable background investigation and clearance
  • Must have a high attention to detail and be able to organize workflow, coordinate activities, balance simultaneous projects without loss of efficiency in a multi-tasked environment, and manage multiple priorities to meet deadlines.
  • Must have proficient skill and knowledge of Microsoft Office software
  • Understanding of higher education regulatory and compliance based environment and ability to interpret and apply University policies and procedures.
  • Demonstrated knowledge of current government regulations that pertain to students, faculty, and University staff, such as Title IX, Title VII, and other anti-discrimination laws and rules in an educational setting or experience interpreting compliance code/policy and translating into actionable
  • Knowledge of student disciplinary systems in a university environment, as well as relevant laws (e.g., Title IX, VAWA/Campus SaVE, FERPA, Clery Act) and experience developing training and outreach programs on sexual violence prevention
  • Experience exercising independent and sound judgment; ability to remain impartial and neutral throughout the investigative process and in highly emotional situations; experience managing complex, confidential, and sensitive issues
  • Demonstrated ability to present ideas clearly and effectively in writing and verbally; strong interpersonal skills with the ability to work effectively individually and as a team member, including the ability to work effectively with a range of diverse individuals at all organizational levels.
  • Sensitivity to and acceptance of personal and cultural differences and the ability to relate well with diverse cultural and ethnic backgrounds. Including working with the college age student population.
  • May be required to work more than 40 hours a week and work a flexible schedule to accommodate for meetings with individuals involved in investigations.

PHYSICAL DEMANDS

  • Working conditions are in an office environment and university campus setting. Must be able to move across the university campus to conduct day to day business.
  • While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 25 pounds.
  • Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
  • Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner.
  • Constantly operates a computer and other office productivity machinery.
