Description:

The Village of Mundelein is seeking a part time customer service clerk to work at the Village Hall (approximately 18 hours per week). Under the direct supervision of the Customer Service Supervisor, the Customer Service Clerk has the responsibility of performing routine and non-routine office services at the Village Hall’s front counter, including processing utility payments and assisting with building permits, contractor and business registrations. Requires the ability to build and retain thorough knowledge of policies and procedures of Village operations, specifically those related to Building and Finance departments, and office of the Village Clerk. Work involves direct and consistent contact with the general public, servicing residents, business-owners and contractors as well as supporting Village Staff as directed by supervisor. The position requires strong oral communication and interpersonal skills, excellent data entry/recordkeeping all while remaining detail-oriented and focused in fast paced environment. Work is performed in collaboration with the Customer Service team to provide a reliable quality of service in a professional and efficient manner.


Requirements:

ESSENTIAL JOB FUNCTIONS include:

  • Assist with Building Department’s permit issuance, contractor and business registrations, keep files organized while providing residents, contractors and businesses with general assistance.
  • Assist customers with financial transactions, including accepting and inputting payments for water/sewer accounts, and miscellaneous payments and permits. Verify payments against bills or invoices; enter receipts into cash register; perform data entry functions.
  • Greet and assist customers providing general village information/guidance to the public and/or directing customers to appropriate staff.
  • Sorts and Distributes mail and incoming deliveries.
  • Process and maintain rental registrations. Provide clerical assistance to code enforcement officer as required.
  • Ensure that information of a sensitive or confidential nature is properly secured.
  • Perform routine office and clerical duties as directed, including but not limited to scanning, faxing, typing, copying and distribution of department documents.

COMPETENCIES

  • Retain and demonstrate ability to learn Building Permit and Registration processes.
  • Effective written and verbal communication skills
  • Considerable knowledge of the functions, laws, rules, regulations, and policies of the Village or the ability to acquire such knowledge during a reasonable period of training.
  • Basic knowledge of Microsoft Office products (Outlook and Word), as well as an ability to proficiently operate the Village’s current financial and building software.
  • Thorough knowledge of business English, grammar, punctuation, basic mathematics, and standard office procedures, systems, and equipment.
  • Ability to work well with Village Staff.
  • Ability to exercise sound judgment, maintain confidentiality and follow policies and procedures of the Village.
  • Professionally represent the Village when interacting with residents, business owners, developers, contractors, and other public officials.


REQUIRED EDUCATION AND EXPERIENCE

  • Possession of a high school degree, or equivalent, is required, college coursework a plus.
  • Experience in local government a plus.
  • Prior cash handling, customer service or phone/reception experience required.

Regular and reliable attendance is required. The part-time position schedule is intended to be a 4-day work week (typically Monday, Tuesday, Wednesday and Friday) within the hours of 10 AM until 2:30 PM. However, some flexibility throughout the year would be needed to adjust the work schedule/hours during staff vacations or absences, as well as initial training.

The work is primarily inside, office work, but outside work may be required from time to time.

Work frequently produces mental/visual fatigue associated with various duties and responsibilities.

Work sometimes generates certain levels of stress and requires work under pressure.

Equipment used in this position include the use of computers, printers, scanners, telephones, calculators, photocopiers, fax machines, postage machines, staplers, staple removers, hole punchers, file cabinets, tape dispensers and ring binders.
