Job Description

The Head of Payroll leads the payroll functions for all Eataly North America locations. The Head of Payroll will be responsible for ensuring accurate and timely payroll administration, compliance with relevant regulations, and maintaining payroll records. This role requires excellent communication skills, strong analytical abilities, and a thorough understanding of payroll processes and systems.

Reports to the Director of Finance and manages the team of Payroll Analysts.

Key Responsibilities:

  • Manage and oversee the end-to-end payroll process, including data entry, timesheet review, calculation of wage and tips, benefits, and deductions, and approving off-cycle payrolls.
  • Stay up to date with applicable payroll laws, regulations, and best practices, ensuring compliance with all federal, state/provincial, and local requirements. Run standard payroll reports and produce custom payroll reports and queries on Dayforce. Coordinate the interface of Dayforce data into other software systems.
  • Balance the quarter and year-end payroll records for accuracy and completeness for w-2 purposes
  • Must have strong knowledge and experience with the following:
  • Payroll policies and procedures
  • Federal and state payroll statutes in the US and Canada
  • Payroll record keeping, reporting requirements and procedures
  • Must be able to research and analyze regulatory updates and other information impacting the payroll system and coordinate the implementation of required changes to our HRIS system, Dayforce
  • Must be able to work independently to plan and prioritize own workload while maintaining exceptional accuracy within strict deadlines
  • Must be able to work as part of a team with a strong sense of urgency, reliability, and flexibility
  • Must be able to maintain employee trust and protect operations by keeping information confidential
  • Manages a team of 4 employees, which includes hiring and training
  • Supports and manages all aspects of the employee payroll process from preparation, records maintenance and reporting
  • Determines payroll liabilities
  • Generate post-payroll reports for the US and Canada on a weekly and monthly basis
  • Completes month-end, quarter-end, and year-end finance payroll reports and reconciliations as needed
  • Balances the payroll accounts by resolving payroll discrepancies
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Liaises with the Human Resources teams, both in stores and in the Corporate Office to assure accurate and timely communication
  • Works with the payroll provider to understand tax requirements, changes in wage and tax laws, and other regulatory changes that may impact the payroll
  • Implements process improvements and internal controls to the payroll process
  • Focus on process improvement and the creation of SOP’s
  • Performs audits of the payroll system data to ensure accuracy of pay information
  • Complex Problem Solving- Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions
  • Knowledge of US and Canadian retirement plans, understand how they interact with payroll and be able to provide support in annual audits
  • Performs other duties as assigned
Qualifications

  • Associate’s or Bachelor’s Degree
  • 6+ years of related experience
  • 2+ years of experience in a supervisor position
  • Strong working knowledge of Microsoft Office Suite
  • Exceptional skills in Microsoft Excel
  • Experience in HRIS systems, Dayforce/Ceridian Preferred,
  • Proficient with WFM, Payroll, Pay Group, Pay Policy, Pay Codes, Check Templates, Entitlement, Holiday Groups, and vacation accruals.
  • Experience with Ceridian Tax Service and payroll taxes
  • Minimum of 2 years of experience administrating multi-state payrolls, preferably in CA, NY, MA, IL, PA, NJ, CT, NV, FL
  • Experience with Canada payroll, Ontario preferred, knowledge with ROE filing
  • Experience with business registration in new jurisdictions a plus
  • Experience with inter-departmental labor allocations
  • Experience with hospitality payroll or tip calculation a plus
  • Knowledge of general ledger entry, uploads, and accruals
  • Strong working knowledge of payroll practices, auditing, and procedures
  • Excellent analytical, organizational and problem-solving skills
  • Excellent communication, motivation and team-building skills
  • Able to act with discretion in managing confidential information
  • CPP certification preferred


Additional Information

The annual compensation range for this role is between $90,000 - 130,000 + bonus.
