Job Description

PROPERTY MANAGER (“PM”)

Full Time / NY, NY

Commercial Real Estate firm located in New York, New York has an immediate need for a Property Manager. This position reports to the Director of Property Management (DPM) of BDG and has the responsibility for the ongoing operations of his/her respective property/portfolio. The PM is responsible for professionally managed organization, maintaining property values, establishing and meeting operating budgets, development a skilled and qualified management team, maintaining good relationships with tenant, government agencies, vendors, and clients.

Responsibilities:

Financial Performance: Responsible for the efficient and cost-effective operation of respective properties. Oversees the completion of annual budgets for each property, tracks financial performance and ensures that financial goals and budgets are met. Ensures that the properties are operated in a manner consistent with State and lender financial guidelines and BDG standards and procedures. Responsible for developing adequate systems to ensure property values are being maintained and the protection of the owner’s investment is adequate. Oversees and monitors the monthly financial performance of each property and ensures that lower-level management anticipates and corrects deviations and problems.

Purchase Order- Preparation and Processing of Purchase Orders /Check Requests. Reviews and organizes all information pertaining to specific work, vets’ contractors to ensure the scope is complete, classifies work (i.e, Cape Ex/ R&M/Warranty)

Planning: Develops and Annual Management Plan and 5-year capital plan which includes goals for the management department. Uses this plan to guide and manage the department. Reviews with support staff to insure compatibility with overall goals and requirements. Supports the Property Managers in the implementation of their plans. Review, comment and supervise tenant fit out, base building and site construction projects.

Leadership: Sets and articulates the direction of the department, ensures that management practices and approaches are up to date and in line with industry standards, anticipates the need for change, and moving the management team forward. Builds and maintains effective working relations between property management staff and other BDG departments.

Performance Reporting: Ensures adequate reporting systems are in place and that staff is accountable for the properties they manage.

Inspections: on a routine basis (both day and night) PM will conduct spot check inspections of all BDG properties photo document same, note deficiency and forward an action plan and execute same in a timely fashion. Establishes and oversees all PM schedules and tracks their completion. Audits PM program including reporting.

Staff Development: Provides for a positive work environment for employees. Provides on the job and formal management training and coaching, where needed, to improve skills. Participates in development of training plan consistent with BDG’s needs. Provides career development, makes promotional decisions and ensures that adequate replacement is available to cover vacations, leaves and job vacancies. Ensures that site and property office procedures are efficient, appropriate, automated where possible and maximize computer resources. Ensures compensation is equitable, competitive and facilitates career growth.

Communication: Establishes and maintains a formal communication program for the management team for which PM is responsible and insures a parallel plan for each portfolio. Assumes responsibility for and is actively involved in a proactive tenant satisfaction program. Encourages communication between properties and the central office departments. Provides formal written monthly reporting to the DPM that summarizes the status of the properties, issue and corrective actions. Conducts regular meetings with Property Managers.

Records: Ensures that adequate records are well organized and maintained and up to date on all the properties for which the PM is responsible. Ensures that adequate records are kept of communications with investors, owners, tenants, agencies and clients.

Community and Client Relationships: Responsible for developing good community and tenant relationship. Insures good relationships and communications with those groups. Has intimate working knowledge of the leases with his/her portfolio. Communicates often and early with all tenants.

Other: Performs other assignments, special projects and works with other agencies as assigned. Oversees that adequate safety and security programs exist where necessary. Solicit bids for third party contracts and special projects, analyzes, scopes, and prepares leveling sheets for comparison and DPM review.

  • Excellent critical thinking and problem-solving skills
  • Weekend availability is a must
  • 5+ years’ experience
