The Theater Program Coordinator aids in the daily operations of the Theater Department within the Patel Conservatory and is responsible for coordinating all Theater Department-related administrative, curricular, communication, and event planning needs.

The Straz Center's Patel Conservatory provides the finest performing arts training in an inspirational setting, outreach programs that inspire thousands of students in need and a plethora of educational performances and events that enrich the entire community. The award-winning, nationally recognized, and fully accredited Patel Conservatory offers a multitude of performing arts classes in dance, theater, and music for students of all ages and experience levels.

Essential Functions:
  • Serves as Theater department administrative assistant, supporting departmental team members in meeting organizational goals.
  • Serves as first point of contact for Theater department courses, productions, and initiatives such as Broadway Star of the Future Awards, Conservatory-to-Go, and Theater workshops.
  • Maintains Theater department calendar and creates all space and equipment requests for classes, camps, productions, and Theater department functions.
  • Organizes Patel Conservatory Theater auditions and casting including booking space, working with Acceptd and Admissions on registration set up, and communicating casting details to students.
  • Prepares Patel Conservatory Theater production program content and web site updates, as requested.
  • Gathers data and prepares detailed documents and reports, as needed.

Admissions Related Responsibilities:
  • Partners with the Admissions Office to ensure that all student records are up-to-date and accurate.
  • Teams with the Admissions department to schedule private lessons for the Theater department.
  • Oversees scheduling of guest artists and subs as needed.
  • Arranges and prepares travel and housing for guest artists.
  • Assists with contract generation for guest artists, instructors, and creative teams.
  • Oversees class rosters and attendance for Theater instructors.
  • Fields incoming calls and emails for the Patel Conservatory Theater Department.
  • Assists parents & students with class recommendations, placements, and communications.
  • Implements and provides orientation for Theater students, parents, faculty, and staff.

Theater Program Responsibilities:
  • Under the supervision of the Theater Department Manager, assists in coordinating all aspects of Broadway Star of the Future Award Program.
  • Assists with many aspects of Patel Conservatory Theater Productions and the Broadway Intensive program.
  • Patel Conservatory Theater Apprentice Program

Supervisory Responsibilities:

This position has no direct supervisory responsibilities, but may assist in supervising Theater Apprentices.

Education and Work Experience:
  • A Bachelor's degree in theater or related field is preferred.
  • Minimum of three years' administrative experience required.
  • Experience working in the performing arts field required, professional theater setting preferred.
  • Experience with event planning, contract generation, and scheduling.
  • Experience within an educational environment, including student records, a plus.

Minimum Qualifications:
  • Experience with establishing and maintaining positive relationships with children, parents, theater educators, artists, and administrators.
  • Excellent administrative and planning skills.
  • Strong teamwork and collaboration skills.
  • Strong communication skills (both verbal and written).
  • Strong multitasking and organizational skills.
  • Proficient in the use of Microsoft Office applications.
  • Willingness and ability to work a flex schedule of various hours and multiple shifts, to include evenings, weekends, and holiday shifts, as needed.
