Job Description

We are currently looking for an A/R/AP Specialist to add to our team. This role is ideal for goal-oriented, self-motivated and entrepreneurial minded professionals with a passion for success. Required Education and Experience

-Associate’s degree (or equivalent number of college credits) in Business, Accounting, or Finance.
-Two years of accounts receivable/collections and accounts payable experience.

Essential Duties and Responsibilities
AR Functions 50%

- Entering AR invoices
-Cash Application. Process AR checks, Wire transfers and ACH payments.
-Filing check stubs and CC payments
-Entering Credits in Sage
-Uploading invoices into clients’ website
-Scanning & emailing invoices to Commercial Fire
-Reconciling and Collection of invoices for a few clients i.e National Accounts, Door Sale, the ones we upload invoices in their website.
-Preparing documentation to fill out Prevailing wage payroll report.
-Prepare back up and all the documentations for clients handled by our lawyer
-Get regular updates on our open cases
-Prepare all the necessary documentations to Lien properties/clients for the delinquent accounts


AP Functions 30%
-Entering all Vendors’ invoices through PO entry
-Maintain the discounts log/record to make sure discounts are used, and properly applied to our invoices.
-Preparing EST & ADI monthly statements for payments of due invoices
-Entering invoices through AP invoice entry
-Analyzing and validating prices from our vendor. Researching for best option/prices from other possible vendors.
-Cutting checks weekly for vendors and internal invoices
-Request W9 for new vendors
-Update our records for the federal tax classification and enter the 1099 & TIN# in their file


PO Function 20%

-Processing POs through PO entry and Requisition
-Placing orders at the Vendors website, and/or fax or email it to them
-Inquire about short shipments
-Follow up on the credit for returns and short shipments
-Enter packing slips in Sage (MV is thinking about it)

Skills and Knowledge

-Outstanding written and oral communication skills, with the ability to produce quality results.
-Ability to work under pressure and be multi-talented to meet aggressive time schedules.
-Demonstrated ability to work as part of a team.
-Above average proficiency in computer literacy and applications, i.e. Microsoft Excel, Word, Outlook.
-Strong analytical and quantitative skills, i.e. basic Accounting (GAAP).
-Experience with use of Accounting software, plus ability and desire to learn new software applications.
-Experience in a project management setting greatly preferred.


Certifications and Trainings
Completion of Client Service, technical, and industry trainings within the first three months of hire.
