Job Description

​JOB DESCRIPTION

POSITION: Optical Department Supervisor

DEPARTMENT: Optical

REPORTS TO: Practice Administrator

JOB SUMMARY: The individual is responsible for a mix of administrative and eye care tasks, such as hiring and training staff, managing inventory, processing insurance and billing, submitting work orders for eyeglasses and contact lenses, adjusting eyeglasses, and maintaining client records.
 

EDUCATION AND EXPERIENCE:

  • 3-5 years' experience as an optician
  • At least 1year of experience in oversight of optical staff and management in an optical setting
  • Certification by any of the following: American Board of Opticianry (ABO), American Optometric Association (AOA), National Contact Lens Examiners (NCLE)
  • High school diploma/GED required
  • AA or BA/BS in a related field is desirable

ESSENTIAL SKILLS AND ABILITIES:

  • Training in fitting contact lenses
  • Excellent attention to detail, particularly for interpreting prescriptions and checking lenses
  • Strong communication skills and the ability to explain technical information clearly to customers
  • Customer service skills
  • Familiarity with optical products
  • Familiarity with vision plans and benefits and the ability to break down the technical terms for customers to understand
  • Demonstrates appropriate team player attitude and enthusiasm
  • Works accurately and efficiently ni Word and Excel

RESPONSIBILITIES:

  • Business Planning
  1. Develops an annual business plan for the optical shop and presents to Administrator and CEO/owner
  2. Develops annual marketing plans with Administrator for presentation to CEO/owner
  3. Ensures store promotions, advertising, and visual merchandising are in place and all staff and doctors are aware of current promotions
  4. Develops and recruits appropriate levels of staff
  5. Serves as primary interface with vendors
  6. Oversees day-to-day operations
  7. Acts as a role model in dispensing
  • Operations
  1. Develops and manages effective inventory control
  2. Tracks referrals and capture rate effectively
  3. Develops and communicates effective monthly reports
  4. Monitors and reviews remakes and enforces policies to ensure compliance
  5. Participates in forecasting staffing needs, recruiting, selecting, and retaining high caliber staff
  6. Manages effectiveness of each optician
  7. Completes annual evaluations for opticians
  • Technical/Customer Service
  1. Interpreting the results of eye examinations, using prescriptions written by Optometrists and Ophthalmologists
  2. Advising patients on frame weights, materials, styles and colors
  3. Recommending lenses, coatings and frames to suit customers' needs
  4. Educating patients on how to wear and maintain glasses and contact lenses
  5. Measuring customers to determine suitable types and styles of frames
  6. Adjusting frames so they fit properly as wel as repairing broken frames
  7. Using specialized equipment, such as calipers, lensometers, and lens gauges
  8. Preparing orders for glasses and contact lenses by checking prescriptions, lens thickness and other specifications
  9. Making sure that orders for glasses and contact lenses have been processed accurately by ensuring that essential data elements are captured
  10. Receiving and restocking display frames
  11. Contacting patients when contact lenses or eyeglasses are ready for pickup; notify patients when there aer delays of delivery times
  12. Ensuring that inventory control and loss prevention procedures are always followed
  13. Clean optical displays and sanitize frames that have been touched by patients during the day
  14. Collecting payment from patients for optical purchases
  15. Explaining vision insurance benefits to patients for optimal selection of contact lenses or eyeglasses
  16. Stay up to date on industry trends and make recommendations for updating product inventory to reflect consumer preferences
  17. Adherence to al privacy and confidential company policies and procedures (ie, Health Information
  18. Portability and Accountability Act (HIPAA) as required by law
