Job Description

For nearly four decades, TELACU Education Foundation (“TEF”) has transformed educational outcomes for thousands of first-generation students from the under-resourced communities TELACU serves, by continually pioneering solutions that shatters barriers to higher education faced by the youth of our nation’s largest ethnic minority—Latino. Our Continuum of Education—a dynamic model created by TEF and comprised primarily of the College Readiness and College Success Programs—propels students from high school through graduate studies. 

We are looking for VUB Intern who will provide support services to veteran participants of the Veterans Upward Bound Program (the “Program”). Supports the Educational Counselor and the Project Director in the delivery and implementation of Program activities and services. The Veterans Upward Bound Program prepares veterans to make a smooth transition into as post-secondary college of their choice. The program provides college preparatory-courses, academic advisement, tutoring and workshops. The primary goal of the program is to increase the rate at which veterans enroll in and complete postsecondary education programs.

Essential Job Duties:

Administrative Support

  • During in-person evening session and while providing front coverage:
  • Greets all visitors, assists Program participants and community walk-ins.
  • Provides general information to the public about the Program.
  • Answers incoming calls; directs calls to staff; takes messages and ensures messages are forwarded in a timely manner.
  • Provides eligible program participants with TAP cards during class sessions.
  • Ensures classrooms and lab closing procedures are followed on a daily basis.

Classroom and Computer Lab Support

  • During in-person sessions:
  • Monitors, activity in the computer lab.  Provides assistance to veterans upon request. Ensures rules are being followed, and document any maintenance needs in regards to equipment. 
  • Supports instructors with assembling printed classroom materials; supports instructors as needed
  • Assists staff with reminder phone calls of upcoming class sessions and events
  • Ensure coffee is available at all times during class hours.
  • During virtual sessions:
  • During online classes, provides technical assistance to instructors and participants.  Helps upload important links and materials.  Tracks class attendance and reports on absent students.
  • Promotes upcoming workshops, campus tours and other events to participants.

Organizing and File Management

  • Assists staff with filing program documents according to U.S. Department of Education standards.
  • Records scores on pre-assessment, midterms, post-assessment exams and data entry of score in the computer database.
  • Responsible for data entry of outreach contacts in the database.
  • Creates and maintains Scholarship Google Folder
  • Maintains resource section and calendar updated and current in office. Assists with updating Resource Google Binder
  • Assists with assembly of printed materials.

Supportive Services

  • Supports participants with copies, emails, uploads regarding VA or PSE paperwork. 
  • Shares personal insight about the veteran college experience with VUB participants.
  • Attends and help set up for Program Activities, including orientation, campus tours, workshops, resource events and other VUB events as assigned.

Other

  • Assists staff with Program’s social media pages, as needed.
  • Shares information about veteran events with the team.
  • Attends staff, departmental, and required meetings
  • Provides routine progress updates of assigned projects
  • Ensures all forms of written communication (i.e., letters, memoranda, emails) for participants and public meet the TELACU Corporate Communication Group Standards
  • Develops, coordinates and implements other Program-related projects as assigned.

Terms: 

  • Temporary position, Internship will begin April 2022 and end August 31, 2022
  • 15-18 hours a week
  • Must be able to work Wednesday and Thursdays from and 4:30 pm – 9:00pm, during sessions.

Experience and Education:

  • Must be a college student enrolled in an Associates or Bachelor’s Degree accredited institution of Post-Secondary Education
  • Strong preference for veteran candidate.   Preference to veteran alumni of the Veterans Upward Bound Program  
  • Must have experience working with veterans, demonstrate sensitivity to the needs of first-generation and low‑income veterans; understanding of non-traditional students; and ability to establish rapport with target population
  • Must be available to work Wednesday and Thursday evenings, from 4:30 pm – 9:00 pm
  • Customer service skills are required. 
  • Must possess good communication skills, both oral and written. 
  • Computer Skills: Proficient in Microsoft Office Suite, Videoconferencing, the Internet. Experience with database management applications.

Other Qualifications

  • Must receive favorable clearance reports from background check, Live Scan fingerprinting, tuberculosis screening, and drug screening.
  • Travel: Occasional; local driving for company business. Must have a valid California Driver’s License, proof of current vehicle insurance, and a driving record that meets TELACU Education Foundation insurer’s criteria; must be able to use own vehicle in the course of work.
  • Valid First Aid and CPR certification required

Physical and Mental Requirements:

Constantly (6-8+ hours per day) - Sitting, Use of hands and fingers, to handle, or feel (computer operation)

Frequently (3-6 hours per day) – Standing, Walking, Reaching with hands and arms

Occasionally (Up to 3 hours per day) – Squatting/Bending, Lifting of up to <20 lbs

 

Work Environment & Exposures: 

Position may require occasional exposure to fumes or airborne particles, vibration and loud noise levels. Will be exposed to varying weather conditions, soil, pollen, grass and plant materials and fertilizer while working; will be exposed to cleaning solutions of home strength; may be exposed to industrial strength solutions for pest control, paints or solvents.
