We are seeking an experienced and proactive Executive Assistant to support two senior-level leaders in our organization.
Responsibilities:
- Maintain calendar and appointment scheduling, working closely with leaders to effectively manage their time.
- Participate in special projects, committees, or act as a representative in meetings with the team.
- Handle mail, emails, and maintain an up-to-date electronic filing system.
- Coordinate and arrange executive travel, including booking air transportation, ground transportation, and accommodations, while maintaining clear and detailed communication of all arrangements.
- Create reports, presentations, memos, and meeting notes.
- Undertake occasional personal errands on behalf of the Executive.
- Proactively engage with clients via phone, email, or in-person, showcasing excellent communication and interpersonal skills.
- Collaborate with management teams and clients, prioritizing tasks efficiently and maintaining composure.
- Order and ensure the accuracy of client lunches and events.
Requirements:
- Outgoing, engaging, and able to build rapport quickly.
- Excellent communication, interpersonal, and client service skills.
- 10 years of experience as an executive assistant, production assistant, or client service assistant.
- Punctual, reliable, and dedicated with a "Can-Do" attitude in every situation.
- Highly organized and detail oriented.
- Adaptable, able to think on the fly and make quick decisions.
- Enthusiastic and personable team player.
- Onsite availability typically between Monday-Friday, 9:00 am – 5:30 pm, with occasional additional hours.
- Effective time management and task prioritization skills.
- Previous experience in the hospitality industry, customer service, or as an executive assistant preferred.
Education:
- Bachelor's (Preferred)
Salary:
- Starting at 55,000 Per Year
