Accounts Receivable/Payable Clerk (Urgently Hiring!)

We are looking for a responsible Accounts Receivable/Payable Clerk with administrative and bookkeeping experience to perform a variety of tasks related to accounts receivable and payable. Duties of the Accounts Receivable/Payable Clerk include providing support to our managers and employees, assisting in daily office needs, and managing our company’s general administrative activities. Responsibilities include answering and directing phone calls, organizing and scheduling appointments, planning meetings, and taking detailed minutes. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like MS Excel and office equipment. If you have previous experience as a Secretary or Executive Administrative Assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Accounts Receivable/Payable Clerk should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities:
- Manage accounts receivable and accounts payable functions
- Prepare and process invoices for clients
- Process incoming payments in compliance with financial policies and procedures
- Perform day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivable data
- Prepare bills, invoices, and bank deposits
- Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted
- Verify discrepancies by and resolve clients’ billing issues
- Facilitate payment of invoices due by sending bill reminders and contacting clients
- Generate financial statements and reports detailing accounts receivable status
- Monitor customer account details for non-payments, delayed payments, and other irregularities
- Research and resolve payment discrepancies and customer inquiries
- Maintain accounts receivable files and records
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Book travel arrangements
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Skills:
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus
