CASA & CASA IN ACTION SYNOPSIS:

CASA has a sister organization, CASA in Action, a separate, but related, nonprofit organization that is exempt from federal income tax under section 501(c)(4) of the Internal Revenue Code. Although CASA and CASA in Action share a common goal of supporting immigrants and low-income people in Maryland, Pennsylvania, Virginia, and Georgia, they are separate organizations with their own board of directors. A set of employees at the two organizations, including the person filling this position, shares their time between the two organizations. This has no effect on salary or benefits.

DEPARTMENT SYNOPSIS:

The Regional department responds to the needs of immigrants, and working class families, utilizing service provision models that promote building the power of immigrant communities and working class families at large. This includes community education and programming, case management, and direct services to address service disparities, build on community interest and assets, and work to impact trends that negatively affect our immigrant, and working class families. The Regional department includes Health and Emergency Social Services, Legal services, Immigrant Integration Programs, after school programming, vocational training, Workforce Development, English and Citizenship Classes, Tax and Financial literacy services amongst a few. The department works closely with the regions Organizing department to refer community members to join CASA’s regional community organizing committees - where members can elevate their stories and voices to impact change through CASA’s collective people power, grassroot organizing approach.

POSITION SUMMARY:

Under the supervision of the Regional Director, and in collaboration with CASA’s central Admin/Operations team, the Operation Manager will be responsible for the day to day management of the region's Welcome Center(s) ensuring that all programs, services, and operations are running smoothly. This position will assist the Regional Director with administrative support, such as payment, reimbursement, and credit card reporting requests. This position will also serve as the point of contact and provide support services for the CASA central Admin/Operations team, which includes: Data & Evaluation, Human Resources, Finance, IT, and Sites. CASA seeks professional, bilingual (Spanish/English), friendly candidates that are highly motivated, with excellent management, organization, customer service skills, and experience serving immigrants, and working class communities.

ESSENTIAL RESPONSIBILITIES:

  • Serve as the Manager for the regional center(s), first point of contact, in ensuring all programs, services and regional operations have what they need to run their programs and events, etc.
  • Work directly with the Regional Director to ensure all vendors/contractors payments are processed, the credit card expense and petty cash reports are completed and submitted timely, managing the Director and center calendar for meetings and events, and travel requests, among other things
  • Support the Human Resources (HR) department and other Regional Managers with recruitment, onboarding, and off boarding procedures for regional positions. Serve as the point of contact with central HR for other misc. tasks related to the Regional operations
  • Handles highly sensitive personnel matters
  • Support the Finance department by conducting service fee generating income reconciliation and deposit procedures, serve as main point of contact for resolving finance inquiries
  • Work with key stakeholders to create and implement internal control policies and procedures relevant to the centers
  • Conduct inventory of assets to assess needs, and place orders as needed. Assets include, but are not limited to auto, furniture, equipment, supplies, etc.
  • Manage the regional assets ensuring they are well maintained, functional, accounted for, and in working condition to be used for programming/operation needs.
  • Manage the Site Supervisor (building maintenance) personnel, while supporting the central Sites department in ensuring the Site is operating in compliance with CASA standards
  • Support the coordination of work with other contractors, and other external partners such as regional municipalities to de-escalate any building maintenance or neighborhood emergencies in the proximity of CASA centers
  • Support Site Supervisor in building compliance, permitting, maintenance requests
  • First point of contact in responding to emergencies at the centers
  • Conducts routine reviews and assessments of regional operating procedures to ensure the centers are safe and secure at all times, and operating efficiently.. Trains staff on regional, center specific, security measures, and other operating procedures. Ensures the centers are fully secured, at all times.
  • Serve as the point of contact for the IT department, and assisting with the issuance and collection of equipment, and day to day troubleshooting, as necessary.
  • Others tasks as assigned and needed by Supervisor

EDUCATION/CERTIFICATIONS:

  • Bachelor's Degree or 5 years’ experience in related area required

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Bilingual English/Spanish proficiency required.
  • Minimum 3-years’ experience working in customer service and management preferred
  • Driver’s license and car is required as this role may require travel between CASA centers
  • Excellent client service, problem solver, demonstrates initiative, great organizational skills
  • Ability to communicate effectively orally and in writing
  • Ability to effectively manage and mentor a diverse team
  • Enthusiastic in working with multiple departments, programs, and staff across different regions and states
  • Staff, Partner, and client face-to-face meeting settings are required
  • Strong attention to detail and accuracy and ability to deliver high quality results
  • Deep commitment to social change and to growing CASA’s regional expansion
  • Proficient in Microsoft Office Suite including Word, Excel, and Adobe PDF Professional
  • Proficient in Google Suite
