Compensation:
  • In accordance with California law, the expected salary range for this position is posted with this position.  The actual compensation will be determined based on experience and other factors permitted by law.
 
Role Summary:
The Program Assistant is responsible for all routine support services, UC portal data entry and administrative support.  Ensures service delivery is trauma-informed, culturally appropriate, and tailored to the needs of each child while maintaining all program requirements of ORR.
 
 
  • Supports The Haven by providing a variety of administrative duties, including but not limited to, opening clients in the UC Portal in the agency's electronic health record.
  • Ensures all documents are uploaded to the appropriate record and redacted as needed to ensure compliance with agency standards pertaining to protected health information.
  • Run reports pertaining to billable services within the electronic health record and dispersing reports to appropriate staff and supervisor. 
  • Coordinate and maintain multidisciplinary team meeting scheduling and calendar of events.
  • Manages and maintains other records in accordance to set policies and procedures.
  • Ensure internal department meetings agendas are completed and sent to appropriate parties.
  • Acts as interpreter for placed youth as needed.
Qualifications
  • A minimum of a high school diploma or equivalent. An associate or bachelor's degree in a related field from an accredited college or university is preferred.
  • Two to three years' experience as an administrative assistant, preferably within a medical office or mental health program.
  • Proficient in using Microsoft Office, specifically Word, Excel, and Outlook.
  • Ability to work independently, with a broad range of delegated responsibilities.
  • Good grammar, diction, and ability to write clearly and concisely.
  • Bilingual (Spanish/English) preferred.
 

Specific Requirements:

  • Valid CA Driver License with a minimum of two (2) years good driving history and must be approved by the agency's insurance carrier to drive agency vehicles. Or ability to facilitate travel for and with clients to and from potential job sites and lesson destinations used for training, using available transportation resources which may include public transportation, rideshare, etc.
