Position description: The office admin/warranty clerk is the data backbone of the division ensuring every work order, PM record, and warranty claim is complete, accurate, and audit-ready. This role directly supports the customized reporting LAZ provides to DFW airport administration and drives warranty dollars back into the operation.

General responsibilities

• Review and close work orders in Fleetio for completeness: labor hours, parts charges, cause codes, and technician notes.
• Maintain PM scheduling and compliance tracking; publish daily PM compliance and down-bus reports for division leadership and the airport as requested.
• Identify warranty-eligible repairs; prepare, submit, and track OEM warranty claims (Cummins, Allison, Eldorado, Arboc, Ford, EV suppliers); follow claims through payment and reconcile recoveries.
• Maintain vehicle files: titles/registrations, DOT/TxDMV inspection records, recall status, and asset compliance documentation.
• Support internal and outside-firm audits with organized, retrievable records; prepare weekly and quarterly maintenance KPI reports.
• Process invoices with detailed backup per LAZ finance standards; support timekeeping and administrative needs of the division.

Qualifications

• Strong administrative and data-entry accuracy; experience with fleet/VMS software (Fleetio preferred) a plus.
• Warranty administration experience with heavy-duty OEMs strongly preferred; we will train a strong administrator.
• Proficiency in Excel, Word, and Teams; comfort building and maintaining reports.
• Professional written and verbal communication for interaction with OEMs, vendors, and airport staff.
• Must pass a federal background check and DFW airport badging requirements.

Education and experience

• 2+ years of administrative experience, preferably in a maintenance, dealership, or fleet environment.
• High school diploma or equivalent; associate degree a plus.
