The administrative assistant is responsible for a wide variety of duties to support the Dean of the KU School of Medicine - Wichita campus. This individual is responsible for the Dean's calendar, travel, meetings, lectures, presentations, written and verbal communication, and serves as the primary administrative contact and liaison for the Dean.

This position is required to be on campus Monday - Friday.

Salary range is $23.25 - $28.85 per hour.

Required Qualifications:

Education/Work Experience:
  • Bachelor's degree in related field, or three years combination of education and administrative support experience, or 3 years administrative support experience if no degree.

Skills:
  • Proficiency with computers, online systems, Microsoft Word, Excel, PowerPoint, and Zoom


Preferred Qualifications:

Work Experience:
  • Experience in higher education
  • Experience in supporting executive level leaders
  • Experience in coordinating travel arrangements and processing travel reimbursements.
  • Experience with event coordination

Skills:
  • Impeccable accuracy, attention to detail, and organizational skills
  • Strong interpersonal skills and demonstrated ability to develop effective working relationships at all levels of the organization
  • Effective written and verbal communication skills
  • Trustworthiness and experience in maintaining strict confidentiality
  • Ability to effectively shift to and from different projects quickly and prioritize as needed


Job Duties Outlined:

Executive Support
  • Coordinate and schedule all meetings and events for the Dean, which includes executive meetings, lectures, teaching rounds, education/curriculum meetings and community events.
  • Prepare documents and reports, create agendas and record meeting minutes.
  • Coordinate all aspects of the Dean's travel, including registration, lodging, airfare and/or rental cars according to travel policy and submit required documentation for expense reimbursement.
  • Serve as the primary administrative contact and liaison with executive leadership, affiliated partners, faculty, staff and students on the behalf of the Dean.
  • Review requests and communications submitted to the Dean and, where appropriate, respond and/or redirect to the appropriate office for action.
  • Prepare written and electronic correspondence, including preparation and dissemination of sensitive and/or confidential information.
Reception and Administration
  • Greet and assist all visitors to the Dean's Suite, screen phone calls.
  • Provide support to other staff in the Dean's Suite, including scheduling meetings, coordinating and assisting with events.
  • Administer faculty time sheets, compile time sheet data, generate and distribute reports.
  • Assist with contract routing and distribution, file documents, transcribe information.
  • Purchase supplies, equipment, books and other materials for multiple departments.
  • Manage the University Seal, ensuring the seal is only used for authorized purposes.
  • Coordinate events and receptions as requested.
  • Serve on campus committees.
Dean's Clinical Liaison
  • Liaison between the Dean and the clinical practice. Work with the clinical practice for scheduling clinic appointments, patient appointments, credentialing, maintaining hospital privileges and insurance.
  • Prepare and process licensing application and renewals for the Dean.
  • Submit clinical-related expenditures to clinical practice for payment.
