The Workplace Coordinator is the face of Levitate's Raleigh headquarters - creating a warm, professional, and efficient environment for employees, candidates, and guests. This is a hands-on role responsible for front desk operations, event coordination, vendor support, and maintaining a best-in-class workplace experience. Our Workplace Coordinator will be onsite every day and will often work independently, managing the front desk and daily operations with minimal supervision. The ideal candidate is highly organized, proactive, and comfortable working autonomously, with a genuine passion for helping others and creating a positive in-office experience.

In this position, success means maintaining a Raleigh office that runs smoothly and consistently presents a professional, welcoming atmosphere. Guests and candidates should experience Levitate's culture from the moment they arrive. The Workplace Coordinator ensures that office operations are organized, efficient, and proactively managed without daily oversight. Additionally, events, vendor relationships, and facilities needs are coordinated seamlessly and on schedule.

Responsibilities

Front Desk & Office Operations

  • Serve as the first point of contact for employees, guests, and candidates - greeting everyone with warmth and professionalism.
  • Manage daily front desk operations, including mail, deliveries, and general office upkeep.
  • Oversee conference room bookings and assist with meeting logistics when needed.
  • Support employee access and visitor management by issuing badges and maintaining KISI and security records.
  • Maintain an organized, stocked, and inviting office environment.

Event & Culture Coordination

  • Coordinate onsite events, lunches, and team celebrations to support Levitate's culture.
  • Assist with biannual team onsites (e.g., Engineering, Web) and other department gatherings.
  • Manage logistics for visiting remote teams and company guests.
  • Help plan employee appreciation events and seasonal celebrations alongside the Operations teams and company Employee Resource Groups (ERGs).

Vendor & Facilities Support

  • Coordinate with vendors (cleaning, catering, supplies, maintenance) to ensure consistent service and quality.
  • Support the Operations team with onsite tasks such as vendor scheduling or maintenance follow-up.
  • Monitor inventory of office supplies, snacks, and swag; reorder as needed within budget guidelines.

Administrative Support

  • Provide light administrative support to the Operations team, including document organization, scheduling, and procurement tasks.
  • Prepare meeting spaces and materials for interviews and company visitors.
  • Assist with new-hire setup logistics in coordination with HR and IT.
  • Maintain office seating charts and communicate desk updates as the team grows.

Qualifications

  • 1-2 years of experience in office administration, workplace coordination, or hospitality.
  • Proven ability to work independently and manage multiple priorities with minimal oversight.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills; professional, approachable demeanor.
  • Comfortable using modern workplace tools (Google Workspace, Slack, Zoom, etc.).
  • Dependable and punctual, with a strong sense of ownership and accountability.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Enthusiasm for creating a great in-office employee experience and maintains a positive can-do attitude.
  • Experience in a SaaS or fast-paced corporate environment.
  • Familiarity with office access control systems (e.g., KISI) or similar tools is preferred
  • Event coordination or vendor management experience is preferred
