We are looking for a highly organized Workplace Coordinator to support daily office operations in California. This Long-term Contract position is ideal for someone who can manage scheduling, coordinate communications, and keep administrative processes running smoothly. The role requires a proactive, detail-oriented individual who can handle payroll support, respond to inbound inquiries, and help maintain an efficient and well-supported workplace environment.


Responsibilities:

• Coordinate daily workplace activities, ensuring schedules, meetings, and operational tasks are organized and completed on time.

• Manage dispatch-related requests by directing assignments and communicating updates to the appropriate team members.

• Handle inbound calls effectively, provide accurate information, and route inquiries to the correct contacts as needed.

• Assist with leadership and administrative coordination by preparing materials, tracking priorities, and supporting day-to-day office needs.

• Maintain organized records, calendars, and communication logs to help workplace operations run efficiently.

• Collaborate with internal teams to address scheduling conflicts, administrative issues, and operational follow-up items.

• Monitor routine office processes and identify opportunities to improve coordination and responsiveness across the workplace.

• At least 1 year of experience in workplace coordination, office administration, dispatching, or a similar support role.
• Demonstrated ability to manage multiple schedules, priorities, and deadlines in a fast-paced environment.
• Experience handling inbound phone calls and communicating effectively with employees, vendors, or customers.
• Working knowledge of full-cycle payroll processes and strong attention to detail when managing sensitive information.
• Strong organizational skills with the ability to keep records, calendars, and operational tasks well maintained.
• Ability to work independently while also supporting leadership and collaborating effectively with cross-functional teams.
• Clear verbal and written communication skills, along with a detail-oriented and service-oriented approach.
