Role: Workplace Coordinator
Location: Chicago, Illinois ( OR) Bellevue, WA - Onsite
Job Summary:
Responsibilities:
Reception & Employee Experience
• Serve as the first point of contact, creating a welcoming environment for employees, visitors, and vendors.
• Greet, direct, and sign-in office visitors; develop strong relationships with stakeholders.
• Proactively share office updates with the team when relevant
• Manage incoming/outgoing mail and packages efficiently.
Workplace Operations & Facilities
• Support office operations in partnership with the Workplace Site Manager.
• Open and close the office daily (lights, blinds, supplies, dishwasher, etc.).
• Maintain daily organization and cleanliness of common areas (lobby, kitchen, meeting rooms).
• Manage inventory and restocking of snacks, beverages, kitchen, and office supplies. Monitor badge access logs, distribute temporary badges, and assist with security protocols.
Event & Vendor Support
• Assist with setup and cleanup for meetings and office events.
• Coordinate lunch orders and food delivery logistics.
• Work with event hosts to confirm meal types, dietary needs, and service times.
• Support on-site vendors with access and workspace assistance.
Administration:
• Maintain documentation and spreadsheets for menus, events, orders, and quarterly programs.
• Help with internal resource navigation and communication for employees.
• Participate in recurring tasks such as updating weekly menus and managing quarterly parking assignments.
• All other duties as assigned
Skills and Abilities:
• Experience in hospitality, customer service, or employee experience preferred.
• Strong attention to detail with the ability to multi-task in a fast-paced environment.
• Exceptional organizational and time management skills.
• High level of professionalism and customer focus.
• Strong social skills, positive attitude, and problem-solving abilities.
