Job description


The Epic Willow Analyst is responsible for the design, implementation, optimization, maintenance, and support of
Epic Willow Pharmacy applications across the organization. The role serves as the primary application and
workflow expert for pharmacy-related Epic functionality, ensuring that system design supports safe, efficient,
compliant, and patient-centered medication management processes. The Epic Willow Analyst partners closely
with pharmacy leadership, pharmacists, physicians, nursing teams, clinical informatics, operational stakeholders,
and information technology teams to translate clinical and business requirements into effective Epic solutions.
The Analyst is responsible for application configuration, troubleshooting, testing, workflow optimization,
implementation support, and ongoing enhancement of Epic Willow applications while promoting medication
safety, regulatory compliance, operational excellence, and user satisfaction.
Responsibilities
  • Designs, configures, tests, implements, and maintains Epic Willow Inpatient and/or Willow Ambulatory
    applications. Translates pharmacy operational, clinical, and regulatory requirements into Epic system design and functionality. Configures medication records, formularies, medication order workflows, dispensing workflows, verification processes, clinical monitoring workflows, and pharmacy operational settings. Develops and maintains detailed application documentation, design specifications, build records, and support materials. Ensures application build aligns with organizational standards, pharmacy best practices, and Epic recommended workflows.
  • Collaborates with pharmacy leaders and frontline pharmacists to evaluate existing workflows
    and identify improvement opportunities. Analyzes medication-use processes to improve efficiency,
    compliance, and patient safety. Supports optimization initiatives involving prescribing, verification,
    dispensing, administration, inventory, and medication monitoring workflows. Recommends workflow and system enhancements that improve user experience and operational performance. Promotes standardization of pharmacy workflows across care settings where appropriate.
  • Provides advanced application support for Epic Willow users and pharmacy operations. Investigates,
    troubleshoots, and resolves application issues, incidents, defects, and workflow concerns. Performs root cause analysis and implements sustainable solutions to recurring problems. Monitors application performance and proactively identify issues that may affect clinical operations. Coordinates with Epic Technical Services, third party vendors, and internal IT teams to resolve complex issues.
  • Develops, executes, and documents unit, integrated, regression, and user acceptance testing
    activities. Validates application functionality during implementations, upgrades, enhancements, and
    maintenance releases. Creates testing scenarios that accurately reflect pharmacy and medication
    management workflows. Ensures system changes meet operational requirements, patient safety standards, and regulatory expectations. Supports release management and change control processes.
  • Participates in Epic implementations, acquisitions, expansions, upgrades, and optimization
    initiatives. Supports project planning, workflow design sessions, and implementation activities. Provides go-live support, stabilization assistance, and command center coverage as needed. Delivers at-the-elbow support to pharmacists, providers, and clinical staff during deployment activities. Assists with post-implementation assessments and continuous improvement efforts.
  • Serves as a liaison between pharmacy operations, clinical departments, and information technology
    teams. Engages stakeholders to understand operational challenges and translate requirements into system solutions. Provides subject matter expertise related to pharmacy workflows, medication management, and Epic Willow functionality. Participates in interdisciplinary committees, governance structures, and workflow review sessions. Facilitates consensus among stakeholders regarding workflow design and system configuration decisions.
  • Ensures application functionality supports medication safety initiatives and evidence-based practices. Support compliance with applicable pharmacy regulations, accreditation standards, and organizational
    policies. Collaborates with medication safety, quality, and compliance teams on system-related
    initiatives. Maintains documentation supporting audits, regulatory reviews, and accreditation activities. Assists in evaluating system impacts related to regulatory or clinical practice changes.
  • Monitors application utilization, workflow effectiveness, and performance metrics. Identifies opportunities to improve system functionality, operational efficiency, and user satisfaction. Participates in governance and optimization initiatives to maximize value from Epic investments. Recommends enhancements that support organizational strategic objectives and patient care goals. Stays current on Epic developments, pharmacy technology advancements, and industry best practices.
  • Assists in other duties as assigned to support the operational needs of the department and organization.
  • May be required to remain on campus immediately before, during, and after severe weather and/or disasters.

Qualifications
  • 3 years of pharmacy practice, pharmacy informatics, healthcare technology, or Epic application
    support experience, required.
  • 1 year of experience analyzing operational requirements and translating them into technology
    solutions, required.
  • 1 year of Epic application analyst experience, preferred.
  • 1 year of completion in ASHP accredited PGY-1 and/or PGY-2 Residency program, preferred.
  • 3 years of pharmacy informatics or clinical informatics experience, preferred.
  • 1 year of experience supporting Epic implementations, upgrades, and optimization initiatives, preferred.
  • Licensed pharmacist in the of Florida, required.
  • Epic certification or ability to attain Epic certification(s) in assigned module(s) within a defined timeframe determined at time of hire.

As part of our selection process, candidates being considered for this position will be required to complete a Sphinx Assessment, which is used to evaluate job-related competencies and determine overall suitability for the role. Successful completion of the assessment is a required component of the hiring process.
This position also requires active participation in various phases of the Epic application lifecycle, including but not limited to implementation, go-live support, stabilization, optimization, and system upgrades. Candidates must be willing and able to accommodate the demands associated with these activities, which may include:
  • This position operates in a hybrid work environment and may require a minimum of 25% onsite presence to support operational and business needs.
  • Working additional hours outside of regularly scheduled business hours, including evenings and weekends, as project needs dictate.
  • Participating in on-site go-live and support activities across multiple organizational locations.
  • Traveling occasionally for Epic training, certification, project meetings, or other work-related purposes, including travel outside of the state.
  • Traveling between organizational facilities to provide operational, project, and end-user support.

Candidates should be prepared to maintain flexibility in their schedules to support critical project milestones and organizational operational needs.
