JOB SUMMARY:  The CCDF Office Assistant – Central Office is responsible to provide clerical support to the CCDF Central Office staff.


EDUCATION AND EXPERIENCE REQUIREMENTS

  • High School Diploma.

OR

  • Six months to one year of clerical and administrative support experience preferred.


ADDITIONAL KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of Program Administration principles and practices.
  • Knowledge of the Tribal communities, including anticipation of their organization and community needs.
  • Knowledge of the Child Care Development Fund program.
  • Knowledge of childcare programs and their needs.
  • Ability to maintain accurate records, analyze data, prepare reports and submit in a timely manner.
  • Ability to interpret and apply Federal, State, ITCN and other program guidelines.
  • Ability to work effectively with the Tribal communities, community organizations, CCDF staff, ITCN staff and program representatives.
  • Self-motivated, a self-starter, dependable, and has the ability to work with minimum supervision.
  • A positive attitude with effective verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to write clearly and assist with word processing when necessary.
  • Ability to maintain strict confidentiality.
  • Must possess a valid Nevada Driver’s license, a reliable vehicle with insurance and have a good driving record.
  • Experience and knowledge of Microsoft Office. Ability to integrate and merge data from multiple programs including Access, Excel, Word, PowerPoint and Publisher.


PHYSICAL ABILITIES

ESSENTIAL FUNCTIONS

  • Carry out organizational and clerical support tasks.
  • Manage the CCDF filing system.
  • Assist walk-in applicant or participant inquiries in reference to the application process and eligibility requirements.
  • Maintain congenial relations with staff, parents, applicants and others within the program.
  • Manage and distribute office CCDF correspondence including checks.
  • Submit and maintain all CCDF billing.
  • Gather all information necessary for efficient processing of participants’ enrollment paperwork.
  • Ensure verification documents are in accordance with program policies for new applicants.
  • Assist with new applications, timesheets, acceptance letters, receipts and all correspondence needed for parents, providers and community programs within the service area.
  • Create and enter client data.
  • Manage the CCDF program client eligibility list and waiting list.
  • Maintain all Central Office CCDF forms needed for enrollment and eligibility.
  • Assist the CCDF Compliance Specialist with developing CCDF Center and Provider training.
  • Assist with creation of information materials such as flyers, press releases, mailings, brochures, etc.
  • Assist with event coordination, calendar schedules and outreach within tribal communities.
  • Actively participate in staff meetings.
  • Provide assistance to the CCDF staff when needed.
  • Help organize and maintain office common areas.
  • Perform general office clerk duties and errands.
  • Other duties as assigned.


ADDITIONAL CCDF-SPECIFIC DUTIES

  • Assist families with completing CCDF eligibility applications, verifying supporting documentation, and ensuring files are maintained in compliance with 45 CFR Part 98.
  • Monitor and track child attendance sheets, timesheets, and provider invoices to ensure accuracy before payment processing.
  • Maintain the CCDF eligibility and redetermination tracking system to ensure families remain within program compliance timelines.
  • Support the preparation and submission of CCDF-required reports, such as ACF-700, 696-T, and other OCC data collections, by gathering and entering accurate participant and service information.
  • Help monitor parent co-payment collections, documenting payments received and reconciling with Finance staff.
  • Provide clerical support for CCDF quality initiatives, including training registrations, provider communications, and workshop evaluations.
  • Track CCDF-funded purchases, subgrants, and equipment issued to providers or tribes, ensuring compliance with federal inventory guidelines.
  • Support outreach and recruitment efforts to increase awareness of CCDF services in tribal communities, including developing flyers, newsletters, and social media posts.
  • Maintain accurate service-area maps, family enrollment logs, and child count records for CCDF-funded tribes.
  • Assist parents in understanding consumer education materials related to child care quality, child development, and available resources.
  • Provide logistical support for Tribal Council or community presentations related to CCDF funding, services, or policy updates.
  • Track and maintain CCDF training and technical assistance requests submitted by tribes or providers.
  • Support staff in coordinating school readiness activities, literacy programs, or family engagement events funded under CCDF.
