Sierra Executive Solutions, Inc. (SES) is a 3rd party search firm recruiting for a homebuilder client's Office Administrator career opportunity. This is an on-site role in downtown Reno, NV and local applicants will be given preference.


Position Summary

The Office Administrator is the organizational backbone of the front office, providing a welcoming first point of contact for visitors and callers while supporting the accounting and customer service functions behind the scenes. This role requires someone who is highly organized, detail-oriented, and comfortable juggling multiple ongoing responsibilities without letting anything fall through the cracks.


Responsibilities

Reception & Front Office

  • Greet visitors, homebuyers, and trade partners in a warm, professional manner
  • Maintain a tidy, organized, and welcoming front office/reception area

Accounting Administration

  • Receive, sort, and process incoming invoices; route for approval and coding
  • Assist with data entry and recordkeeping to support Accounts Payable
  • Maintain organized digital and physical filing of accounting documents
  • Support the accounting team with light administrative tasks as needed

Customer Service Administration

  • Enter, track, and update homeowner work orders in the system
  • Make confirmation calls to homeowners for scheduled appointments and service visits
  • Coordinate scheduling between homeowners, trade partners, and the Customer Service Manager
  • Maintain accurate, up-to-date records of service requests and follow-ups
  • Communicate professionally with homeowners regarding scheduling and status updates


Qualifications

  • 2+ years experience in Office Administration is preferred.
  • Exceptionally organized, with strong attention to detail and follow-through
  • Excellent verbal and written communication skills
  • Strong interpersonal skills and a professional, customer-focused demeanor
  • Ability to manage multiple priorities and deadlines simultaneously
  • Proficient in Outlook and Excel, with a willingness and ability to learn Newstar
