Position Overview
The Office Administrator functions as administrative support to the Branch Manager or Office Manager. The Office Administrator is responsible for assisting with the day-to-day administrative operations of the office, ensuring a smooth and efficient work environment. This role serves as the central point of contact for internal staff, visitors, and vendors, providing professional support in scheduling, record keeping, communications, and general office management. The Office Administrator will maintain organized systems, uphold company policies, and assist with basic financial and operational tasks to support overall business objectives
Responsibilities
  • Serve as the first point of contact for visitors, clients, and incoming calls, providing professional and courteous assistance.
  • Manage office calendars, schedule meetings, and coordinate travel arrangements.
  • Greet visitors, answer and direct phone calls, and provide general information.
  • Maintain filing systems (digital and paper) and ensure records are accurate and accessible.
  • Prepare correspondence, reports, and presentations as needed.
  • Order and maintain office supplies, equipment, and service contracts.
  • Process invoices, expense reports, and purchase orders; assist with budget tracking.
  • Assists with timesheets and minimal human resources record keeping.
  • Distribute internal communications and maintain up-to-date contact lists.
  • Ensure compliance with office policies, safety procedures, and organizational standards.
  • Support onboarding for new hires, including workspace setup and orientation.
  • Assist with planning and execution of company events and meetings.

Qualifications
  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • 5+ years of administrative or office management experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic office technology.
  • Strong organizational, multitasking, and time management skills.

    Travel Requirements
