Position: Office Manager

Overview: Lotus Radio Corp in Reno, NV is seeking a highly organized and detail-oriented Office Manager to lead the day-to-day administrative and business operations of our radio broadcasting and digital advertising company. This multifaceted role serves as a critical link between our sales, traffic, accounting and human resources functions, helping ensure operational efficiency with exceptional internal support. The ideal candidate will bring strong experience in office administration, sales operations support and employee coordination, along with the ability to manage multiple priorities in a media environment. This position plays a key role in supporting the sales team processes, coordinating traffic and accounting activities, and assisting with local HR initiatives. Success in this role requires excellent organizational skills, professionalism, and a collaborative approach to problem-solving. As a trusted member of the leadership support team, the Office Manager will contribute to the overall success of the market by ensuring seamless office operations, supporting cross-functional departments, and helping maintain a positive and productive workplace culture.

Accounting Key Responsibilities
  • Help coordinate all accounts receivable functions, including client billing, collection of payments, credit card processing, and banking tasks.
  • Assist with any local Vendor matters as may be required by accounting for prompt processing of all invoices and vendor payments
  • Partner with the Sales Management Team to oversee review of aging reports, assist with timely collections, and conduct follow-up on outstanding advertising accounts.
  • Organize, maintain, and reconcile trade agreements and ticket inventory, ensuring all trade documentation meets internal audit standards and FCC requirements where applicable.
  • Provide accounting support during month-end close cycles and periodic audit requirements.
  • Execute sales order entry for local, regional, and national broadcast accounts- serving as a key support to the Sales Manager and liaison to traffic department.
  • Input and manage commercial traffic instructions for all levels of client accounts, ensuring accurate placement and timing within program logs.
  • Prepare and distribute pre-logs, post-logs, and affidavits for client campaigns across all markets, maintaining compliance with client expectations, agency standards, and industry regulations.
  • Coordinate with offsite Business Office as may be needed to maintain accurate and timely financial records and reporting
Office Management
  • Oversee general office operations, including supplies, equipment, front desk tasks, and vendor relationships.
  • Coordinate facility maintenance, mail distribution, and office cleanliness.
  • Support senior management with administrative tasks, scheduling, and internal communications as needed.
  • Assist with the monthly collection of rent from tenants and follow up on outstanding balances as needed.
  • Assist with additional duties, projects, and tasks as requested by the General Manager and General Sales Manager.
Human Resources
  • Serve as a liaison between market and corporate HR.
  • Facilitate local implementation of company-wide HR initiatives, training sessions, and compliance meetings.
  • Support diversity, equity, and inclusion efforts, including EEOC documentation and reporting.
Qualifications
  • Proven experience as an Office Manager, HR Coordinator, or similar administrative role.
  • Strong understanding of general HR practices, employment law, and office operations.
  • Excellent organizational and time-management skills.
  • High level of confidentiality and professionalism.
  • Strong interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite and HRIS systems preferred.
  • Associate or Bachelor’s degree in Business Administration, Management, Human Resources, or related field preferred.
