POSITION BACKGROUND:

The Administrator will be responsible for completing all necessary and required paperwork from the branches and/or Head Office. The Administrator also ensures proper flow of office procedures and supports the rest of the staff.

CORE DUTIES:


  •       Reception
  •       Answering incoming calls; taking messages and re-directing calls as required
  •       Sort, fill, and file required paperwork
  •       Prepare and send inter-company mailbags
  •       Act as a liaison between branch locations
  •       Maintain calendars and schedule appointments
  •       Process and track incoming and outgoing mail and couriers
  •       Printing courier invoices and matching them to the packing slips

Other Duties

  •          Create and service purchase orders for both the shop and the logistics department
  •          Submit timely reports and prepare presentations/proposals as assigned
  •          Maintain organization within the office and ensure office supplies are stocked
  •          Work together with employees to help complete all required paperwork
  •          Successfully complete safety training as required on an ongoing basis

QUALIFICATIONS AND SKILLS:

Required

  •          Minimum of 1 year of administrative experience
  •          High school diploma / GED
  •          Fluent in the English language (reading, written, spoken)
  •          Ability to deal with the public in a positive, courteous, and respectful manner
  •          Ability to handle multiple tasks and frequent demanding deadlines
  •          Strong work ethic and organizational planning skills with attention to detail
  •          Ability to work independently or as part of a team
  •          Effective verbal and listening communication skills

Preferred

  •          Post-secondary education in business administration
