POSITION SUMMARY

The Weekend Regional Admissions Director (RAD) is responsible for driving census growth and admissions performance across a defined portfolio of skilled nursing facilities within Venza Care’s network during weekends, holidays, and periods when weekday RADs are out on PTO. This role ensures that referral intake, bed placement, and conversion activity continue without interruption outside of standard business hours — a period when hospital discharges continue but competitor response times typically lag. The Weekend RAD acts as the primary link between hospital/referral source relationships and facility-level admissions execution during their coverage window, ensuring consistent messaging, rapid response times, and a clean handoff to the weekday RAD team.


KEY RESPONSIBILITIES

Schedule & Coverage

• Provide full regional admissions coverage on Saturdays and Sundays, including intake, bed placement, and referral response

• Cover designated holidays per the annual holiday coverage calendar

• Serve as primary admissions coverage when weekday RADs are on PTO, including scheduled weekday shifts as needed

• Maintain phone/CRM availability during the coverage window and respond to weekend referrals within established response-time standards

• Complete a written handoff to the weekday RAD team at the close of each coverage period summarizing referrals received, admissions completed, pending authorizations, and open follow-ups

• Escalate clinical, capacity, or payer issues to the on-call Senior RAD or facility leadership when decisions cannot wait until the next business day

Census & Admissions Performance

• Own regional census growth targets across all assigned facilities

• Monitor daily/weekly admissions pipeline, conversion rates, and length-of-stay trends by building

• Identify underperforming facilities and deploy targeted intervention plans

• Coordinate bed availability and appropriate patient placement across the region to maximize occupancy and clinical fit

Referral Relationship Management

• Serve as senior point of contact for hospital discharge planners, case managers, and other referral sources across the region during weekends, holidays, and PTO coverage periods

• Build and maintain relationships with key referral partners (hospital systems, physician groups, managed care liaisons)

• Cultivate relationships with weekend hospital discharge and case management staff, who are often distinct from weekday contacts

• Represent Venza Care in market-facing meetings, QAPI-adjacent discussions, and payer/managed care coordination as needed

Team Leadership & Standardization

• Direct and support facility-level admissions coordinators/liaisons on duty during the coverage window; escalate performance concerns to the weekday RAD or Senior RAD

• Standardize admissions workflows, intake documentation, and insurance verification processes across facilities

• Train and coach facility admissions staff on conversion best practices, payer mix strategy, and urgency/response-time standards

• Ensure consistent use of admissions tracking systems/CRM across all buildings

Cross-Functional Coordination

• Coordinate with clinical/DON leadership at each facility to confirm bed and care-level appropriateness before accepting referrals

• Work with billing/revenue cycle partners to ensure clean intake data for downstream billing accuracy

• Support facility Administrators in local market positioning and competitive intelligence gathering


QUALIFICATIONS

• 3+ years of admissions/marketing leadership experience in skilled nursing, LTPAC, or post-acute care; multi-site experience strongly preferred

• Demonstrated track record of hitting or exceeding census/conversion targets

• Strong working knowledge of Medicare/Medicaid, Managed Care (MA plans), and payer authorization processes

• Experience managing or mentoring admissions coordinators across multiple locations

• Excellent relationship-building skills with hospital discharge planning teams

• Proficiency with admissions CRM/tracking tools and basic reporting (Excel required; PointClickCare or similar EHR/admissions software a plus)

• Valid driver’s license and willingness to travel regularly between regional facilities

• Availability to work every Saturday and Sunday, designated holidays, and additional weekday shifts to cover RAD PTO; comfortable operating with limited on-site corporate support


KEY PERFORMANCE INDICATORS (KPIS)

• Weekend/holiday admissions volume and census growth vs. target

• Referral-to-admission conversion rate on weekend and holiday referrals

• Average admissions response time during the coverage window

• Weekend referrals lost to competitors due to response delay or bed-hold failure

• Handoff completeness and accuracy at the close of each coverage period

• Payer mix quality (Medicare/MA vs. Medicaid ratio)

• Facility-level admissions coordinator performance/retention
