Principal Responsibility

Volunteer Services (VS) manages the volunteers that make our work at St. Anthony’s possible. We welcome thousands of people each year from every sector of the community to engage in direct service with those experiencing poverty and homelessness. Together our volunteer corps provide over 114,000 hours of service per year to St. Anthony’s programs. Volunteer Service with us is more than volunteerism; it’s an opportunity to connect with the community through shared moments of compassion and understanding. In this role, you will provide administrative and programmatic support to the volunteer program at St. Anthony Foundation. In the spirit of our Franciscan values and heritage, our team provides compassion and care daily. As a steward of healing and social justice, you are expected to meet the following duties:

Essential Duties and Responsibilities   Volunteer Engagement
  • Conduct and support individual volunteer orientations as needed.
  • Support coordination of the Individual Volunteer program.
  • Oversees volunteers' work performance, observance of guidelines, and interactions with staff, clients, and other volunteers.
  • Coordinate the Skilled Volunteer Application process: review applications, refer qualified applicants to programs, support the interview process, and track the skilled volunteer onboarding process.
  • Coordinates Volunteer opportunities for school groups who volunteer at St. Anthony’s Foundation (SAF).
  • Responsible for the scheduling and placement of the above groups.
  • Coordinate all administrative aspects of the educational group volunteer program, such as reminder emails to group leaders, room reservations, and tracking of group data in Salesforce.
  • Conducts follow-up for school group volunteer program, including checking in on attendance and sign-ups, youth waiver process, and adjusting the numbers as needed.
  • Support coordination with external organizations and community partners.
  • Oversees volunteers' work performance, observance of guidelines, and interactions with staff, clients, and other volunteers.
  • Conduct Group Volunteer Orientations.
  • Assist with coordinating volunteer appreciation events and other department activities.
  • Treat all guests with empathy, dignity, and respect. Seek to understand the other person's perspective and experience.
  • Demonstrate the ability to work effectively across cultures and an openness to learning about cultures not familiar to oneself.
Program Administration and Operations
  • Complete reports and all other paperwork neatly, legibly, and thoroughly.
  • Enter data and information electronically as required. Looks up data and reports electronically through a database as requested.
  • Understand and follow the organization's programs, policies, and procedures
  • Participate in regular training and development opportunities to increase personal capacity to apply innovative approaches to daily workflows, service delivery, and employee engagement.
  • Assist the Group Volunteer Coordinators with administrative and coordination support such as reminder emails to group leaders, room reservations, and tracking of group data in Salesforce.
  • Support coordination with external organizations and community partners.
  • Works collaboratively with partners in recruitment, training, recognition, retention and tracking of volunteers to maintain a high-quality volunteer experience.
Teamwork
  • Work in collaboration with the Volunteer Services Manager and Volunteer Coordinators to ensure Dining Room and Free Clothing Program volunteer operational needs are met, making changes or arranging contingency plans with the Dining Room Manager or Free Clothing Program Manager, and reporting volunteer incidents or concerns directly to the Dining Room Manager or Free Clothing Program Manager.
  • Participate in relevant meetings supporting team communication and the program's capacity to fulfill organizational goals and mission.
  • Collaboratively works with others to achieve team success.
  • Manage stress and pressure situations calmly and responsively. Maintain the capacity to control reactions and awareness of how their behavior or response can impact others.
  • Consistently demonstrate integrity while working and representing St. Anthony’s.
  • Practice direct, respectful, open, and honest communication with their colleagues. Proactively seeks support from team members or management.
  • Demonstrate cooperation with coworkers, management, and the community at large.
Minimum Qualifications
  • Excellent interpersonal, listening, oral, and written communication skills are required.
  • Ability to be polite, diplomatic, and firm. Can set limits and practice professional boundaries with guests, volunteers, donors, and coworkers.
  • Ability to respond to emergencies and high-pressure situations in a self-composed and self-assured manner.
  • Ability to work non-traditional hours and days (weekends and holidays required).
  • Ability to complete paperwork neatly and legibly.
  • Ability or willingness to learn to use information and communication technologies (computers, smartphones, and iPads) to find, evaluate, create, and communicate information.
  • Accurate word processing and data entry skills required, such as typing, data entry and file management.
  • Proficient in Microsoft Office suite, and knowledge of Salesforce CRM is helpful.
  • Ability to be punctual, reliable, cooperative, and stay team-oriented.
  • Detail-oriented, possessing good organizational skills and a demonstrated ability to work as part of a team and with minimal supervision.
  • Ability to competently handle and prioritize various projects and tasks in time-critical situations required.
  • Comfortable with public speaking and welcoming volunteer groups to our services and programs.
  • Experience working with the public desired.
  • Ability to lift a minimum of 10-15 pounds.
  • Experience working in a non-profit or community-based social service agency with people experiencing homelessness or poverty desired.
  • Commitment to the St. Anthony Foundation Statement of Values and a desire to work for a social services agency serving the poor.
