Job description

Virtual Admissions Specialist

The Virtual Admissions Specialist is responsible for assisting prospective students with the onboarding and admissions phase of the Student Lifecycle including, but not limited to, assisting prospects with navigating the admissions application process, responding to inquiries regarding the HCC website, semester courses, continuing education and adult basic education program information as well as other admissions related processes.

Essential Functions

  • Assist students with accessing online resources (i.e., PeopleSoft student center to include financial accounts, payments, financial aid status, course registration, class schedule, enrollment checklist, etc.).
  • Provide student and class-related information including admissions requirements, career paths, class dates, admission process, locations, and orientation dates.
  • Assess and promptly respond to the needs and concerns of prospective students, applicants, and parents via phone, email, face-to-face interviews and/or mini-information sessions.
  • Maintain current knowledge regarding all semester credit hour, continuing education and adult basic education courses and/or program recruitment and advising information.
  • Provide professional and high-quality customer service when responding to student and class/program related inquires.
  • Facilitate student onboarding processes (application, financial aid, testing, and orientation).
  • Capture all information requests, leads and responses to Request for Information form (RIF) using the appropriate tracking and/or caseload management tool.
  • Assist students with resolving onboarding issues (i.e., holds, complaints, grade appeals, financial).
  • Direct students to COE Deans and/or Department Chairs as needed for additional advising and/or program orientations.
  • Perform other duties, tasks and assignments as required.

Qualifications

Education & Experience

  • Associate's degree required
  • HS/GED plus 4 years directly related experience may be considered in lieu of required degree
  • 3 years' experience working in Instructional/Continuing Education, Customer Service, Workforce and/or Student Services Support, Recruitment or Advising required

Licensing & Certification

  • Valid Texas Driver License

Working Conditions

  • General Office. Must be able to perform all job requirements with or without reasonable accommodations; remain in a stationary position during shift; move items weighing up to 25 pounds; position self to operate job equipment; apply established protocols in a timely manner. Must access, input and retrieve information from technology devices; communicate with others to accomplish job requirements. May be required to work after hours to include weekends and holidays.
