Position Summary
The Payroll Operations Manager leads the day-to-day operations of our payroll department. This role is responsible for planning, directing, and coordinating the resources necessary for accurate payroll production, tax compliance, and delivering exceptional service to our multi-industry client base.
Essential Responsibilities
Payroll Operations & Client Success
  • Departmental Leadership: Manage the overall daily operations and personnel involved in payroll processing, including staff scheduling and retention.
  • Client Onboarding & Relations: Oversee the onboarding of new clients and maintain long-term relationships through proactive communication and troubleshooting.
  • Knowledge Resource: Serve as the firm's internal expert for payroll-related questions and provide guidance to non-payroll teams regarding complex issues.
  • Process Documentation: Develop and update standard operating procedures, including client route sheets, processing checklists, and educational training materials for clients.
  • System Optimization: Monitor, test, and implement software changes and updates to ensure system efficiency and data integrity.
Regulatory Compliance
  • Compliance Oversight: Monitor federal, state, and local regulatory changes to ensure all processing remains compliant.
  • Quality Control: Review daily processing as well as quarter-end and year-end compliance returns.
  • Reporting: Oversee ACA reporting and other mandatory regulatory filings.
Administrative & Financial Functions
  • Financial Performance: Improve key financial metrics through operational efficiencies; oversee client billing practices and pricing models.
  • Contract Management: Manage client contracts and oversee relationships with third-party payroll vendors.
  • Technical Support: Research and resolve complex client issues through detailed written and oral communication.
 
Qualifications
  • Experience: Significant experience in payroll management, specifically within a multi-client or professional services environment.
  • Leadership: Proven ability to manage, mentor, and retain a high-performing payroll team.
  • Communication: Strong interpersonal skills with the ability to communicate technical payroll data to both internal teams and external clients.
