Job description

Arlington Heights Veterinary Hospital, located in Bloomington, IN is a veterinary hospital that puts your animals’ needs first and foremost.  For over 5 decades we have aimed to perform the best possible medicine and are always striving to save the 10%;  Saving the lives of the animals that only the best veterinarian can save. We have a philosophy that 70% of the animals get better with or without treatment, 20% get better with the help of a veterinarian, and the last 10% are saved by exceptional veterinarians and their team. We want to be the clinic that saves the 10%. 

This position is primarily responsible for the client’s first contact when calling or visiting the practice and as such represents the professional image of the practice to callers and visitors. The Customer Service Representative (CSR) answers telephones, greets clients, prepares patient files and escorts clients and patients to exam rooms. The CSR also receives and relays client correspondence and updates client financial records.  The exceptional CSR has the ability to diffuse negative client situations and foster client loyalty.

You will be responsible for:

Veterinary Knowledge/Client Education: 
  • Answers client inquiries about basic animal care and routine procedures.
  • Educate clients on over-the-counter products such as shampoos and nutraceuticals; have full knowledge of heartworm and external parasite preventives and able to promote client education and sales. 
  • Guide client to make appropriate decisions regarding optimum pet care. 
Admitting / Discharging Patients/ Cash Handling:
  • Admit patients and handle medical record entries accurately.  
  • Handle client/patient transfers with ease. 
  • Prepare client invoices for services performed. 
  • Accurately handle payment transactions. 
  • Accurately and empathetically communicate estimates/treatment plans to clients.
Hospitality:
  • Bond with clients during interactions. 
  • Keep the front desk a positive area even during long client wait times.
  • Work to maintain an effective veterinarian appointment schedule; screening emergencies and prioritizing cases that need to be seen.
Personal Conduct/Attitude/Teamwork:
  • Maintain positive, cooperative relationships with other employees. 
  • Display tact and respect with team members even when busy or hectic. 
  • Feel and express a genuine liking for animals and their owners and for working in the animal care field.
Client Communication:
  • Conduct oneself in a confident and professional manner with clients even when situations are stressful and/or focused on individual tasks. 
  • Deal intelligibly, pleasantly and efficiently with clients, often doing several things at one time. 
  • Greet clients with poise and natural effort. 
  • Outline costs and fees in a positive light while supporting hospital payment policies. 
  • Turn prospective clients (phone-shoppers) into clients through relationship building and bonding. 
  • Handle client correspondence including procedure reminders, thank you cards, welcome cards, sympathy arrangements and cards, and A/R statements.
