Job Summary
The Administrative Assistant III provides senior level administrative, operational, and coordination support to the Vice President for Corporate and Community Engagement. This position is responsible for managing complex administrative functions, handling sensitive and confidential information, and exercising sound judgment, discretion, and initiative in support of executive priorities. This role requires a high degree of independence, professionalism, and organizational effectiveness. While interfacing with many campus constituents, to include senior leadership, this individual will also work with many external constituents, including but not limited to corporate and industry executives, USG representatives, resident partners, community partners, business and community leaders, etc. Maintains P-Card for the department.
Responsibilities
The duties include, but are not limited to:
SENIOR LEADERSHIP ADMINISTRATIVE SUPPORT
  • Provide advanced administrative support to the Vice President for Corporate and Community Engagement.
  • Manage complex calendars, schedules, meetings, and logistics to maximize executive effectiveness.
  • Coordinate travel arrangements, reimbursements, and invoices in compliance with university and state policies.
  • Prepare, organize, and maintain executive correspondence, records, and confidential materials.
OFFICE OPERATIONS AND COORDINATION
  • Coordinate administrative operations for the Corporate and Community Engagement division.
  • Maintain organized electronic and physical filing systems.
  • Track deadlines, action items, and deliverables associated with executive initiatives.
  • Assist in documenting and communicating administrative processes and procedures.
  • Respond effectively and confidentially to sensitive inquiries and requests from both internal and external constituents.
FINANCIAL, PROCUREMENT, AND PERSONNEL SUPPORT
  • Manage and track purchase requests, check requests, and IDRs; maintain the department's P- Card; and orders and maintain inventory of office supplies.
  • Assist with travel authorizations, expense reports, and reimbursements.
  • Support time, leave, and personnel administration functions for the unit.
  • Assist the Business Operations Director with Human Resource support functions. Work with Directors to update job descriptions as necessary.
  • Participate in the recruitment process for all positions, to include scheduling interviews, preparing and maintaining interview questions & documentation, submitting information in OneUSG, and working with HR on job offers.
  • Oversees and tracks professional development programs for the department (conferences, workshops, training) and partners with Business Operations on all related onboarding activities.
COMMUNICATION AND LIAISON FUNCTIONS
  • Serve as a primary liaison between the Vice President¿s office and internal and external stakeholders.
  • Draft, edit, and proofread correspondence, reports, and presentations.
  • Coordinate communications with the President¿s Office and senior leadership.
  • Prepares routine and complex correspondence including but not limited to letters, memoranda, reports, financial spreadsheets, PowerPoint presentations.
  • Serves as the main point of contact for all communication shared electronically to the division, as approved by the VP
  • Assist the Vice President with strategy and implementation tracking.
  • Maintain an extensive knowledge base of the vision, mission, and strategic goals to help ensure the department stays on track to accomplishing their stated goals. Assist VP with updating documentation as necessary, collecting updates from Directors, and sharing updated information as appropriate. Gather information from Directors and compile the Executive Summaries as appropriate.
SPECIAL PROJECTS AND DIVISION SUPPORT
  • Support administrative aspects of special projects and initiatives.
  • Assist with onboarding and professional development coordination.
  • Provide logistical support for meetings, events, and engagements.
OTHER: Other duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university and two years of progressively responsible administrative support experience
OR
Associate's degree from an accredited college or university and five years of directly applicable experience
OR
High school diploma or GED from a recognized state or federal accrediting organization and eight years of directly applicable experience
Preferred Qualifications
Bachelor's degree from an accredited college or university and three years of experience working in a high-level administrative support capacity.
Familiarity with University System of Georgia institutional structure and reporting practices.
Certified Administrative Professional (CAP) Certification
Experience with Human Resources functions and processes.
