UCF Health - Student Health Services (SHS):

The office of Academic Services for Student-Athletes (ASSA) offers a variety of support services including tutoring, study hall, and academic coaching/advising to help assist the more than 400 UCF student-athletes reach their full academic potential. The staff of Academic Advisors, Learning Specialists, Learning Assistants, and Tutors work one on one with student athletes to provide them support in their transition from High School to college and throughout their careers at UCF.

The Opportunity:

The Student Health Services (SHS) Medical Secretary position provides non-clinical patient support at UCF Student Health Services-Main Campus. Working under the supervision of the Business Manager I, this position is responsible for reviewing patient accounts, performing database maintenance functions, and ensuring the accuracy of all data recorded.

UCF is seeking to fill multiple roles. Candidates for this job posting will be considered for additional vacancies in this department.

Responsibilities:

Patient Scheduling & Front Desk Operations:

  • Greet patients and serve as the primary scheduler for UCF Student Health Services.

  • Determine appropriate appointment types and time lengths.

  • Schedule non-emergency appointments with appropriate providers to support daily patient flow.

  • Refer patients to the Nurse Facilitator for triage or assist with telephone-based triage.

  • Complete all steps on opening and closing appointment checklists.

Patient Communication & Customer Service:

  • Answer incoming calls and provide accurate information to patients.

  • Direct visitors to appropriate departments within UCF Health Services.

  • Maintain clear and professional communication with patients and staff regarding appointments and services.

Insurance Verification & Financial Processing:

  • Verify insurance eligibility and appointment coverage using PeopleSoft.

  • Collect patient co-payments and outstanding balances.

  • Perform electronic eligibility confirmations when applicable.

  • Maintain accurate financial communication records on patient accounts.

  • Electronic Health Records & Data Management:

  • Enter, register, update, and verify patient demographic and insurance information in the EHR.

  • Track received data and source documents to ensure accuracy and completeness.

  • Prepare and interpret information for data entry. Generate reports and respond to inquiries regarding patient data.

Scheduling Coordination & Administrative Support:

  • Reconcile clinical and departmental scheduling conflicts as they arise.

  • Organize and distribute incoming and outgoing mail.

  • Post checks, scan check logs, and maintain related documentation.

  • Stock and control departmental forms and supplies.

Policy Compliance & Documentation:

  • Interpret and communicate policies and procedures to USPS and OPS staff.

  • Create, update, and maintain departmental manuals, guidelines, and handbooks.

  • Ensure documentation complies with HIPAA policies and FERPA guidelines.

Training & Staff Support:

  • Assist with training of OPS employees and student clerks.

  • Provide procedural guidance as needed to support consistent operations.

Professional Development & General Duties:

  • Complete all required university, AHSC, and SHS trainings in a timely manner.

  • Perform additional duties as assigned by the Student Health Coordinator or designee.

Minimum Qualifications:

High School Diploma or Equivalent and 0+ years of relevant experience.

Preferred Qualifications:

  • One year of experience in healthcare or one year in customer service.

  • Clinical knowledge and understanding of CPT and ICD-10 codes. Proficient with medical terminology.

  • Working knowledge of health insurance, pre-authorizations, and medical specialties.

  • Proficiency with Microsoft Office applications including Microsoft Word, Excel, and Outlook.

  • Electronic Medical Records experience.

  • Excellent professional communication skills, at all levels within the organization and with patients.
