Your Future Team

Reporting to the Manager of Trust Operations for Hightower Trust Company, the Trust Operations team provides exceptional service to financial advisors and clients by accurately and efficiently opening and funding new accounts; processing money movement and other trust-related transactions; remediating errors; invoicing and collecting client fees; administering critical trust applications; and leading special projects to improve how the company operates. The team collaborates with many departments to ensure positive experiences for advisors and clients. The Trust Operations Specialist is an important role that directly controls the accurate and timely processing of transactions, which is key to ensuring that trust be successful in this position if you have a strong attention to detail, learn quickly in a fast-paced environment, manage time effectively, prioritize team versus individual success, strive to exceed expectations, and collaborate effectively with all levels of the organization.

What Youโ€™ll Do

  • Oversee and process money and asset movements through our banking institutions, custodians, or other third-party providers (cashiering, asset transfers, vault assets)
  • Assist with the review and approval of transactions within appropriate limits and under dual control
  • Process account openings for multiple custodians including asset transfers (TOAs)
  • Review custodian alerts and process entitlement reports/requests
  • Process maintenance and other account update requests across multiple different custodians
  • Assist with internal house account and vault reconciliations
  • Monitor and respond to general Trust Ops team emails
  • Act as a point of contact for high-value clients, responding to inquiries, address concerns, and providing exceptional service to build and maintain strong client relationships
  • Process incoming and outgoing mail
  • Process check deposits and disbursements
  • General billing for trust accounts including invoices
  • Process Improvement
  • Identify areas for process optimization and efficiency enhancement within trust operations

What Youโ€™ll Bring

  • Bachelorโ€™s degree or ability to demonstrate required skills and knowledge needed for this job.
  • 1+ years of financial services operations experience
  • Proficiency in Microsoft Office applications, particularly Excel
  • CTFA or CTOP is preferred
  • In-depth knowledge of trust administration, fiduciary services, asset management, and financial products
  • Strong understanding of regulatory frameworks and compliance requirements related to trust operations
  • Able to think critically to resolve complex, time-sensitive inquiries and data issues
  • Excellent time management skills
  • Strong attention to detail
  • Highly motivated self-starter
  • Able to work efficiently and effectively in a group setting
