About the Job

The Operations Manager is responsible for coordinating and strengthening the day-to-day business operations that support Venatôre’s employees, programs, and corporate infrastructure. This role provides cross-functional operational support to the Program Management Office, Human Resources, Security, Recruiting, Facilities, and employee travel and deployment activities, helping ensure internal processes are organized, responsive, compliant, and aligned with business priorities. The Operations Manager serves as a key connector across functional teams, drives follow-through on operational requirements, and helps leadership maintain visibility into priorities, risks, and organizational readiness.

Responsibilities

Program Management Office Support

  • Support the Program Management Office with program coordination, administrative workflows, reporting, and operational follow-through.
  • Assist with tracking program actions, deliverables, staffing requirements, risks, and internal dependencies.
  • Coordinate recurring program reviews, meetings, status updates, and action-item tracking.
  • Support program managers with employee onboarding, offboarding, staffing changes, access requirements, travel requirements, and other operational needs.
  • Help maintain consistent documentation, processes, and communication across programs.
  • Identify operational blockers affecting program execution and coordinate with the appropriate internal stakeholders to resolve them.

Human Resources & Employee Operations

  • Support Human Resources with employee onboarding, offboarding, personnel changes, documentation, and routine employee lifecycle activities.
  • Coordinate internal processes associated with new hires, transfers, departures, equipment, access, and workplace readiness.
  • Assist with maintaining organized employee records and operational documentation in accordance with company policies.
  • Support employee communications, internal events, training coordination, and other workforce initiatives.
  • Help ensure HR-related action items are completed accurately and on schedule.
  • Serve as a resource for employees seeking guidance on internal processes and route sensitive or specialized matters to the appropriate HR or leadership contact.

Recruiting Support

  • Coordinate with hiring managers and recruiters to support staffing priorities across corporate and contract requirements.
  • Assist with job requisition tracking, interview scheduling, candidate coordination, and hiring workflow management.
  • Monitor recruiting activity and help maintain visibility into open positions, candidate status, hiring priorities, and anticipated start dates.
  • Coordinate pre-employment and onboarding activities to support a smooth transition from candidate acceptance to employee start.
  • Help identify recruiting process gaps and improve consistency, responsiveness, and candidate experience.

Security Coordination

  • Support the company’s security function with administrative and operational requirements related to personnel security, facility access, and security processes.
  • Coordinate employee and candidate information needed to support clearance processing, access requests, visit requirements, and other security activities.
  • Track security-related actions and follow up with employees, managers, and stakeholders to ensure timely completion.
  • Assist with maintaining security documentation, training records, and recurring compliance requirements.
  • Escalate security concerns or compliance issues to the appropriate Facility Security Officer or company leadership.

Travel, Deployment & Mobilization Support

  • Coordinate domestic and international travel arrangements for CONUS and OCONUS personnel in accordance with applicable contract, customer, and company travel requirements.
  • Support travel planning and documentation consistent with the Fly America Act, Joint Travel Regulations (JTR), and other applicable federal travel policies.
  • Support pre-deployment mobilization activities for OCONUS personnel, including required documentation, medical and security clearances, visa and passport requirements, country clearance requests, and travel briefings.
  • Coordinate demobilization and repatriation logistics for departing OCONUS personnel, including final travel arrangements, equipment return, and out-processing requirements.
  • Track travel authorizations, travel orders, itineraries, and expense documentation for accuracy, completeness, and compliance.
  • Review travel-related documentation against applicable per diem, lodging, transportation, and reimbursement requirements.
  • Serve as a primary point of contact for travel-related issues affecting program personnel and coordinate timely resolution with employees, program managers, finance, security, customers, and travel providers.
  • Maintain visibility into upcoming deployments, rotations, return travel, and other personnel movement requirements that may affect program operations.

Facilities & Workplace Operations

  • Oversee routine office and facilities coordination to maintain a professional, secure, and functional work environment.
  • Manage relationships with building management, vendors, service providers, and other facilities-related partners.
  • Coordinate office access, workspace assignments, supplies, equipment, maintenance requests, and facility services.
  • Support planning and logistics for office moves, expansions, employee workspaces, meetings, and company events.
  • Monitor facility needs and recommend improvements that support employee productivity, security, and business continuity.
  • Maintain awareness of workplace safety, emergency procedures, and facility-related compliance requirements.

Cross-Functional Operations & Process Improvement

  • Serve as a central coordination point across the Program Management Office, Human Resources, Security, Recruiting, Facilities, Finance, and company leadership.
  • Develop and maintain operational trackers, checklists, standard operating procedures, and recurring workflows.
  • Drive accountability for cross-functional action items and ensure owners, deadlines, and next steps are clearly documented.
  • Identify inefficient or inconsistent processes and recommend practical improvements.
  • Support implementation of new systems, tools, policies, and operational procedures as the company grows.
  • Maintain appropriate discretion when handling sensitive employee, candidate, program, security, travel, and company information.
  • Provide leadership with regular updates on operational priorities, unresolved issues, upcoming requirements, and areas requiring decisions or additional resources.

Required Qualifications

  • Bachelor’s degree in Business Administration, Operations Management, Human Resources, or a related field, or equivalent professional experience.
  • 5+ years of experience in operations, business administration, program support, human resources, or a related function.
  • Demonstrated ability to manage multiple priorities across different functional areas in a fast-paced environment.
  • Experience coordinating employee travel, deployment, mobilization, or other personnel logistics.
  • Strong organizational, documentation, and follow-through skills.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with employees, managers, executives, customers, and external partners.
  • Strong judgment and discretion when handling confidential or sensitive information.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to independently identify issues, coordinate stakeholders, and drive tasks through completion.
  • U.S. citizenship and ability to meet applicable government contracting and security requirements.

Preferred Qualifications

  • Experience supporting a small or mid-sized federal government or defense contractor.
  • Familiarity with Department of Defense contracting environments and government customer requirements.
  • Experience supporting a Program Management Office or multiple government programs.
  • Experience coordinating CONUS and OCONUS travel for personnel supporting government contracts.
  • Working knowledge of the Joint Travel Regulations (JTR), Fly America Act, federal per diem requirements, and government travel documentation.
  • Experience supporting OCONUS mobilization, deployment, demobilization, and repatriation activities.
  • Familiarity with passport, visa, country clearance, medical clearance, and security requirements for deployed personnel.
  • Familiarity with personnel security, facility security, security clearances, or Defense Counterintelligence and Security Agency requirements.
  • Experience supporting recruiting, onboarding, employee lifecycle processes, or HR operations.
  • Experience managing facilities, vendors, office operations, or workplace services.
  • Familiarity with government contractor compliance requirements, policies, and internal controls.
  • Experience developing standard operating procedures, process documentation, dashboards, or operational reporting.
  • Active security clearance or previous experience working in a cleared environment.
