Job description

Position Title: Executive Assistant - Client Service Advisor
This role is essential for supporting the CEO and ensuring the effective execution of trades for the team. The Executive Assistant will manage complex calendars and communications while fostering strong relationships with clients and stakeholders. The position requires a proactive approach to anticipating needs and managing follow-ups, particularly in a fast-paced environment. The ideal candidate will demonstrate exceptional organizational skills and the ability to prioritize tasks effectively. This opportunity offers a chance to contribute to a stable and growing organization, with potential for professional development.
Salary Range: $45.00 - $60.00 / Hour DOE
Responsibilities:
  • Take meeting minutes and notes during board meetings while managing follow-up actions
  • Oversee calendar and inbox management, ensuring prioritization of key tasks
  • Facilitate the executive's focus on client relationships and internal stakeholders
  • Execute trades for the team as needed, prioritizing the CEO's requirements
  • Manage wire transfers efficiently
  • Anticipate upcoming events and coordinate schedules accordingly
  • Compile agenda items and necessary data for board meetings
  • Capture key takeaways from meetings for the CEO

Requirements:
  • Series 7 license; candidates with Series 6 or Series 65 may be considered if applicable
  • Minimum of 2 years of experience as a Client Service Advisor with a strong understanding of trade execution
  • Confidence in managing calendars and inboxes for C-suite executives
  • Exceptional follow-up and relationship management skills
  • Experience in board meeting participation or preparation
  • Outstanding verbal and written communication skills
  • Ability to manage up effectively
  • Experience in booking travel is preferred
