Job Title: Product Operations Tooling Analyst (Airtable & Atlassian Administrator)
Role Overview
We are seeking a skilled and systems-oriented Product Operations Tooling Analyst to manage, optimize, and scale our core product and technology collaboration platforms. In this role, you will collaborate closely with Product, UI/UX Design, PMO, and Engineering teams to streamline cross-team workflows-covering intake, prioritization, planning, delivery, and reporting.
This is a high-impact operational role requiring deep administrative expertise in Airtable and Atlassian tools. You will own the operational setup, provisioning, troubleshooting, and continuous improvement of these platforms, building scalable interfaces and automated workflows that empower hundreds of cross-functional team members. Key Responsibilities
Tooling Architecture & Administration
• Platform Ownership: Own the operational setup, provisioning, maintenance, and troubleshooting of core product operations tools (Airtable, Jira, Confluence, and SharePoint) to ensure high availability and reliability.
• Airtable Engineering: Design and scale advanced Airtable bases, utilizing relational database structures, custom Airtable Interfaces, and complex Airtable Automations integrated with tools like Slack and Jira.
• Performance Optimization: Continuously optimize system performance, usability, data integrity, and workflow efficiency across all deployed bases and boards.
Cross-Functional Collaboration & Requirements Gathering
• Stakeholder Alignment: Translate diverse, cross-functional requirements from Product, Design, and Engineering teams into scalable, standardized tooling solutions.
• Internal Consultancy: Serve as the primary point of contact for tooling-related questions, troubleshooting, and best practices across the organization.
• Enablement & Onboarding: Partner with product leadership to organize and standardize team onboarding, learning and development materials, and change management initiatives.
Documentation & Continuous Improvement
• Knowledge Management: Develop and maintain clear, comprehensive documentation and training resources to support widespread tool adoption and scaling.
• Process Optimization: Identify and execute continuous improvements to team workflows, intake processes, and reporting mechanisms.
Qualifications & Requirements
Minimum Qualifications
• Experience Baseline: 4+ years of professional experience in tooling operations, systems analysis, or product operations.
• Industry Experience: Minimum 2 years of experience working within Product, Technology, or Media environments.
• Technical Mastery (Airtable):
oAdvanced, admin-level Airtable capabilities including relational database design, interface creation, and UX configuration.
oProven experience scaling Airtable across multiple teams or org-wide deployments.
oDeep understanding of Airtable limitations, performance optimization, and workflow debugging.
• Technical Mastery (Atlassian & Ecosystem):
oProven, hands-on experience working with Atlassian suite products (Jira and Confluence) and SharePoint.
oStrong background in building API integrations and workflow automations.
• Core Competencies: Exceptional requirements gathering and process mapping skills; superb written and verbal communication, presentation, and meeting facilitation abilities.
Preferred Attributes
• Prior experience supporting large-scale product and technology organizations (+500 users) through major tooling migrations or deployments.
• Formal certifications or advanced training in Agile methodologies, product operations, or database administration.
