Job description

Are you a highly organized, meticulous professional eager to advance your career in real estate law? Diaz Anselmo & Associates is seeking anAdministrative Assistant to join our Title/First Legal department. In this essential position, you will oversee mortgage documentation and title workflows, partnering with clients and internal staff to ensure our operations run seamlessly and on schedule.


What You'll Do (Key Responsibilities)

  • Oversee Assignments: Manage the complete lifecycle of Assignments of Mortgage (AOM), from initial intake through final recordation.
  • Coordinate Document Filings: Record and track Lis Pendens, Title Order Instruments, and other critical real estate paperwork.
  • Review Legal Descriptions: Facilitate formal approvals and guarantee flawless submissions to county and state agencies.
  • Monitor Title Schedules: Keep track of production timelines, follow up on outstanding files, and request title gap searches.
  • Update System Data: Ensure accurate, up-to-date information within Perfect Practice and various client portals (ICE, Tempo, ADR).
  • Provide Legal Team Support: Help assemble and file complaint/summons packages under demanding deadlines, and assist Title Examiners and Legal Assistants with document retrieval.
  • Manage Communication: Handle shared departmental email accounts with timely and professional correspondence.


What You Bring (Qualifications)

  • Professional Background: 2-4 years of experience as a Legal Assistant or Paralegal (a background in foreclosure, creditor rights, or real estate litigation is highly advantageous).
  • Technical Aptitude: Strong proficiency in MS Office; familiarity with Perfect Practice, ICE, Tempo, or ADR is a definite plus.
  • Core Attributes: Exceptional attention to detail, strong multitasking abilities, and the capacity to meet strict deadlines in a fast-paced environment.
  • Educational Background: High school diploma required; an Associate's or Bachelor's degree is preferred.


Position Details: Full-time, Monday through Friday, onsite position.
