Description/Job SummaryReporting to the Director of Testing, or designee, the Testing Proctor plays a critical role in ensuring the integrity and smooth administration of examinations in the Testing Center. This position involves providing proctoring services for a wide variety of exams, including but not limited to Accuplacer, ParaPro, GED, TEAS, and other assessments offered to students and external candidates. The Proctor is responsible for maintaining a secure, quiet, and controlled environment conducive to test-taking while adhering to the National College Testing Association (NCTA) standards and the College's policies and procedures. This position requires interaction with students, faculty, and staff and may include additional responsibilities as assigned.
Responsibilities/Duties- Proctor exams for students and candidates during regular business hours, evenings, and weekends. This includes standardized tests, departmental exams, and vendor-based assessments, ensuring all procedures and guidelines are followed.
- Prepare the testing room for each exam, verify the eligibility of testing candidates, and provide clear communication of test procedures and rules. Monitor candidates throughout the exam session. Maintain accurate records of all incoming exams, track and report irregularities or breaches in testing protocols, and ensure all exams are properly documented and stored according to college policy. Provide necessary follow-up with faculty or test vendors when needed.
- Ensure that all testing procedures meet institutional and regulatory standards, including the administration of exams in compliance with NCTA guidelines. Identify, document, and report any issues regarding academic dishonesty, procedural discrepancies, or technical issues during testing.
- Assist in the evaluation of test scores, including the identification of candidates requiring retesting, and maintain detailed records of candidate's testing history for future reference.
- Act as a point of contact for both phone and email inquiries related to testing schedules, procedures, and policies.
- Provide assistance to candidates and staff as necessary.
- Participate in ongoing professional development activities as required by the department.
Required QualificationsEducation:- Associate degree from an accredited institution.
Experience: - One year of professional experience working as a proctor, administrator, or equivalent role in an academic environment (high school, college, university, or professional testing center) which must include the following:
- Office software (MS Office Suite, Google Workspace), email systems, and basic office equipment (printers, scanners, etc.). Comfortable with basic troubleshooting and the use of testing-related software platforms.
Additional Requirements:- Ability to work rotating shift hours including nights, holidays, and weekends.
Preferred Qualifications- Bachelor's degree in education, Psychology, Business, or related field.
- Familiarity with Banner or other Student Information Systems (SIS) is highly desirable.
- Prior experience in a community college or similar educational institution, especially in a testing center, administrative, or academic support role.
- Previous completion of or willingness to complete industry-standard proctor certifications (e.g., NCTA Proctor Certification).
- Knowledge, Skills, and Abilities
- Excellent written and verbal communication skills, with the ability to clearly explain complex testing procedures and requirements to candidates, staff, and faculty.
- Strong interpersonal skills and demonstrated ability to provide exceptional customer service in a fast-paced, detail-oriented environment.
- Knowledge of enforcing the institution's Test Security protocol when observing anomalous behavior within the assessment environment.
- Ability to ensure the security and confidentiality of all testing materials.
- Knowledge of proctor certification training and examinations to stay updated with best practices and institutional procedures.
