Job description
The Accommodated Testing Assistant Coordinator is a full-time, exempt position responsible for the independent oversight, coordination, and administration of high-volume accommodated testing operations within the Accessibility and Disability Service (ADS). Reporting to the Accommodated Testing Supervisor, this role operates with a high degree of autonomy in a fast-paced, student-centered environment and requires advanced organizational, communication, and relationship-management skills.
The primary duty of this position is the application of professional judgment and discretion in coordinating accommodated testing services that support approximately 500-2,500 individual exam sessions per week across multiple campus testing locations. The Assistant Coordinator serves as a key operational decision-maker during testing hours, independently resolving complex and time-sensitive issues related to exam logistics, accommodation implementation, academic integrity, and compliance with university and federal disability regulations.
This role regularly engages with faculty, academic departments, students, and central campus partners and is responsible for interpreting and applying departmental and university policies to ensure consistent, compliant, and equitable testing practices. ADS administers over 18,000 accommodated exams annually, including accommodations such as extended testing time, reduced-distraction environments, and assistive technology.
This position follows a non-traditional work schedule, requiring evening and weekend availability during midterm and final exam periods, and is an in-person, on-site role.
Essential Duties and Responsibilities
Accommodated Testing Operations (Administrative & Oversight Functions)
Provide day-to-day administrative oversight of accommodated testing operations across multiple locations to ensure exams are delivered in compliance with academic, departmental, and ADS policies.
Exercise independent judgment in monitoring testing activity and addressing non-routine operational challenges that arise during exam administration.
Interpret and apply testing, accommodation, and academic integrity policies to resolve complex or sensitive situations involving students, faculty, and test proctor staff.
Serve as the primary operational point of decision-making during testing hours, acting with delegated authority from the Accommodated Testing Supervisor when immediate action is required.
Ensure exam security, accommodation integrity, and procedural compliance are maintained across all testing environments.
Policy Implementation, Compliance, and Incident Management
Establish, implement, and consistently apply departmental test proctoring procedures and standards.
Oversee the documentation, review, and management of testing incident reports related to academic integrity or student conduct concerns.
Prepare and provide official documentation to faculty members, academic departments, and the Office of Student Conduct, as appropriate.
Serve as a departmental representative and witness in Office of Student Conduct proceedings when requested.
Identify operational risks or trends related to testing practices and communicate recommendations to the Accommodated Testing Supervisor.
Staff Coordination and Functional Supervision
Provide functional oversight and direction to hourly test proctor staff to ensure consistent and accurate implementation of accommodations and testing procedures.
Evaluate staffing needs in real time and make independent determinations to address coverage gaps or operational disruptions.
Collaborate with the Accommodated Testing Supervisor to design, implement, and deliver training for test proctors and testing staff.
Ensure test proctors possess the appropriate training, tools, and resources necessary to perform their roles effectively.
This position does not primarily perform routine clerical or manual testing tasks, but instead focuses on oversight, coordination, and quality control.
Stakeholder Communication and Customer Service Oversight
Oversee and manage high-volume communications related to testing reservations, procedures, and policies, exercising discretion and judgment to resolve issues efficiently.
Apply de-escalation strategies when addressing concerns or conflicts involving students, faculty, or other stakeholders.
Communicate and enforce departmental policies related to exam scheduling, submission requirements, and cancellation deadlines.
Maintain administrative oversight of the exam reservation database, including data review, exports, and quality checks.
Operational Planning and Resource Management
Monitor and forecast testing supply and operational needs across locations.
Communicate resource requirements and operational recommendations to the Supervisor of Accommodated Testing.
Support continuous improvement of testing operations through process evaluation and refinement.
