Job description

The overall purpose of this position:
Provide assistance and support to the IEEE Signal Processing Society (SPS) in the receipt, database management, review, and in particular, the timely publication of journal manuscripts as well as provide first-level support for users of IEEE electronic publishing applications and tools. In this role, the temporary Society Administrator will assist the current society publications staff responsible for working with publications, supervised interaction with volunteers and staff to facilitate the timely peer review process for a few IEEE SPS publications.
The role reports to the Senior Manager, Publications & Education Strategy and Services, and functions as a contributor. This position works under general supervision, but is often required to act independently and innovatively in solving problems related to the peer review and education processes, and is required to have good organization and volunteer interaction skills for the publications and continuing education roles. High-quality and professionally written work, a positive attitude, and a professional demeanor is critical to the position. This position has no financial authority and has 0 direct reports.
ScholarOne Manuscripts-Peer Review Assistance (Training available)
Assists current society staff to support the on-line peer review process by taking on administrator responsibilities for SPS ScholarOne Manuscripts (S1M) sites.
โ€ข Coordinates database and manuscript processing and handling.
โ€ข Works to follow up with personalized emails and help facilitate the timely review of articles. Tracks progress of reviews and works with staff/EIC to ensure timely completion by reviewers, associate editors, and authors.
โ€ข Ensures that associate editors have sufficient information to select peer reviewers for manuscripts.
โ€ข Uses functionality of database, prepare, and maintain appropriate correspondence and notifications to system users (EICs, authors, associate editors, and reviewers).
โ€ข Updates associate editor and reviewer files in accordance with instructions from EIC.
โ€ข Assist current society staff to ensure that all questions are answered in a timely manner.
โ€ข Tracks and reports on projects within an online peer review system.
Works with society support staff to create custom reports to both help monitor and expedite progress of manuscripts in the queue, develop metrics, and monitor the overall activity of all participants. Reports will be created using a number of toolsย including Microsoft Excel, Smartsheet, and S1M reporting tools.
โ€ข Provide administrator support for the S1M on-line manuscript submission system. This includes:
โ€ข Database and manuscript processing and handling.
โ€ข Prepare and maintain system-generated correspondence to system users.
โ€ข Assist current society staff to ensure that all questions are answered in a timely manner.

โ€ข Provides support for other projects under the Societyโ€™s purview, as needed.

Education:
Bachelor's degree or equivalent experience

Work Experience:
2-4 years.
Directly related work experience.
Experience in publishing, professional association, and/or education industry.
Prior work experience.
Experience working with a volunteer community.
