Job Description

We are seeking a Front Office Medical Assistant to join our Silver Spring surgical practice! The ideal candidate is well organized, self-driven, dependable, and provides exceptional customer service to patients and providers while supporting the efficient flow of office operations. You will perform primary routine administrative assignments and secondary, occasional clinical assignments to keep the medical office running efficiently and smoothly for patients and providers as part of the office team.
Position Summary:
The Front Office Assistant plays a key role in creating a professional, welcoming environment for patients and visitors. This team member is responsible for managing all front desk operations, ensuring excellent patient communication, and leading the daily appointment scheduling and administrative functions of our surgical practice. The role requires strong organizational and time management skills, attention to detail while managing multiple tasks, and the ability to handle confidential medical information with discretion and professionalism.
Key Responsibilities:

  • Schedule, confirm, and update patient appointments in EMR and surgical calendar with accuracy
  • Greet patients and visitors warmly, ensuring a positive first impression both in person and by phone
  • Confirm insurance eligibility and co-pays for all appointments 
  •  Answer, screen, and route phone calls; respond to patient inquiries promptly and professionally
  •  Check patients in and out, and collect patient balances/co-payments at the time of service
  •  Accurately enter and update patient information and payments in the electronic medical record (EMR) system
  •  Retrieve and respond to voicemail messages and fax communications; respond/forward requests in a timely manner
  •  Complete insurance, employment, referral, and imaging order forms daily
  •  Maintain a well organized, clean, patient-ready ready waiting area and front office at all times
  •  Handle all administrative duties in a timely manner including scanning documents to patient charts
  • Maintain inventory of administrative and clinical supplies, and patient surgical information folder 
  • Train new team members on office and scheduling procedures
  •  Communicate with billing and insurance carriers for proper billing procedures
  • Schedule surgical procedures in EPIC and coordinate surgery cases with hospitals (occasional)
  •  Escort patients to/ from exam room (occasional)
  • Maintain patient confidentiality and comply with all HIPPA regulations at all times both at and away from the office
  • Perform other administrative duties as assigned to support the surgical practice as a helpful team members
Qualifications:
  •  Minimum 1- year of experience in a medical office, preferable in a surgical or specialty setting
  •  1-year proficiency with EMR system(s), preferably ECW
  •  Knowledge of online insurance verification process, and basic medical terminology
  •  Excellent professional communication skills, both verbal and written; bilingual (English/Spanish) required
  • Positive attitude with willingness to learn cross training roles to support the practice goals
  •  Professional demeanor with team focused mindset; patient-centered customer service skills
  •  Familiarity with medical billing procedures
  •  Surgical/procedure scheduling experience at surgery centers and/or hospitals is a plus
  •  Strong organizational and effective communication skills
  •  Ability to thrive in a fast-paced environment while maintaining a professional demeanor and positive attitude

Working Conditions:
  •  This is a NOT a virtual or hybrid position. This is not a temporary/ semester long role.
  •  Full-time, Monday - Friday 8:30 - 4:30 with occasional extended hours depending on clinic schedule
  • Clinic operates in Silver Spring M/Tu/Fri, and Wed/Thurs in Germantown - Flexibility is required
  •  Part-time may be considered for the right candidate with at least 3 full days of availability (W/Thurs/Fri)
  •  Office-based environment with frequent patient interaction both in person and by phone
  •  On site free parking is available 
  •  New state of the art surgery practice within minutes from I 270 and local restaurants - Germantown
  • Silver Spring practice is located Downtown within walking distance to restaurants 
Physical Requirements:
  •  Ability to sit, stand, and talk for extended periods with frequent movement between desk and patient areas
  •  Ability to lift up to 20 lbs occasionally (files, office/surgical supplies, break room items)
