Summary
The Office Administrator is responsible for creating a professional, organized, and welcoming office environment while supporting the day-to-day administrative operations of the office. This role serves as the first point of contact for visitors, tenants, vendors, and employees, while also assisting with meeting coordination, office organization, supply management, and general administrative support. The ideal candidate is proactive, detail-oriented, customer service-focused, and comfortable managing multiple responsibilities in a fast-paced office environment.
Key Responsibilities
  • Manage the front desk and serve as the primary point of contact for visitors, tenants, vendors, and employees.
  • Maintain a professional and welcoming reception area and office environment.
  • Assist with setting up conference rooms, meetings, presentations, and office events, including arranging materials, supplies, and refreshments as needed.
  • Stock and maintain office kitchens, breakrooms, and common areas to ensure cleanliness and adequate supplies.
  • Monitor office and kitchen inventory and track items that need to be reordered.
  • Coordinate office supply orders and maintain organized inventory storage areas.
  • Assist with filing, scanning, printing, copying, and other general administrative tasks.
  • Answer phones, route calls, and respond to general office inquiries in a professional and timely manner.
  • Assist with mail distribution, package handling, and outgoing shipments.
  • Support management and office staff with administrative and operational needs as assigned.
  • Help maintain organized records, files, and office documentation.
  • Assist with special projects and additional office support tasks as needed.
Education/Experience Requirements
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • 3+ years of administrative, office coordination, or office management experience preferred.
