Position Summary
The Pulitzer PrizesOffice at Columbia University administers the Pulitzer Prizes, which recognize excellence in journalism, books, drama, and music. The Office supports the annual awards process, including the work of the Pulitzer Prize Board and juries, and advances public engagement with Pulitzer Prize-winning work through events, communications, and outreach programming.
Reporting to the Manager of Operations, the Coordinator provides day-to-day administrative, financial, program, event, research, and communications support for the Pulitzer Prize Administrator's Office. The position assists with office operations, the preparation of materials for Prize Board members and jurors, the annual awards ceremony, public programming, and digital communications. Working within established University and office procedures, the Coordinator independently completes assigned work, coordinates routine logistics, maintains accurate records, and refers non-routine, sensitive, or policy-related matters to the appropriate manager.
Operations
โ€ข Supports the Manager of Operations with financial transactions, including preparing vouchers for payment, processing expense reports, and coordinating reimbursements in accordance with established University and office procedures.
โ€ข Prepares routine reports summarizing fiscal activity, reviews information for completeness and accuracy, and refers discrepancies or questions to the Manager of Operations.
โ€ข Assists with preparing, organizing, and distributing materials for prize board members and jurors.
โ€ข Assists with meeting and awards ceremony logistics, including preparing materials, coordinating schedules, and supporting on-site activities as assigned.
โ€ข Supports daily office operations by maintaining office records, ordering supplies, answering phones, receiving, and distributing mail, and completing other assigned administrative tasks.
Public Programming
โ€ข Supports the Manager of Outreach and Events with public programming logistics, including communicating routine information to participants, making travel arrangements, and processing reimbursements in accordance with established procedures.
โ€ข Assists with the implementation of approved marketing and promotional activities.
โ€ข Conducts assigned research, compiles statistics, converts data into charts and graphs for internal and external use, proofreads materials, and completes other assigned program-support activities.
Communications
โ€ข Supports the Digital Manager by preparing and scheduling approved social media content, monitoring office social media accounts, updating web pages, and completing other assigned digital communications tasks.
โ€ข Flags sensitive, unusual, or policy-related communications for review by the Digital Manager.
Minimum Qualifications
โ€ข Bachelor's degree or equivalent combination of education and experience required.
โ€ข A minimum of one year of related experience.
