Our client, a national law firm is seeking a
Legal Administrative Assistant to join our team. This is a temporary role.
Duration: anticipated to last 3 months
Pay rate $30/hr - $40/hr
Location: Washington DC office (on-site 5 days a week)
Responsibilities
Administrative & Executive Support
- Manage attorney calendars, contacts, and scheduling.
- Coordinate conference room reservations and meeting logistics.
- Greet clients and visitors professionally and arrange meetings, including catering and audiovisual requirements.
- Handle travel arrangements and itineraries.
- Track monthly expenses, prepare expense reports, and manage corporate credit card accounts.
- Respond promptly to emails and requests for administrative assistance.
- Provide backup support to administrative staff and assist with special projects as needed.
Document Preparation & Management
- Proofread legal and business documents for accuracy and formatting.
- Perform scanning, copying, filing, faxing, binding, and related administrative tasks.
- Prepare legal correspondence, filings, engagement letters, and other documentation.
- Format and finalize legal documents, including tables of contents and firm-specific styling requirements.
- Create, organize, and maintain client and matter files, both electronic and physical.
- Assemble binders and presentation materials.
Legal & Practice Support
- Prepare new client and matter intake documentation.
- Track attorney bar admissions, court admissions, and CLE requirements.
- Conduct non-billable legal research, including court filings, case information, and patent-related research.
- Enter attorney time into the firm's timekeeping system and manage contract attorney time entries.
- Review and edit monthly prebills and prepare related client correspondence.
- Provide occasional personal administrative support for firm partners.
Qualifications
- Minimum of 2 years of administrative support experience in a law firm.
- Strong written and verbal communication skills.
