The administrative assistant will provide dedicated administrative support to the department head of a large/complex unit within the Erik Jonsson School of Engineering and Computer Science. A successful candidate will be organized, detail-oriented, and able to shift priorities in a fast-paced environment. This role will require broad-based knowledge of university policies and applicable local, state, and federal laws and regulations. Must have strong time management skills and attention to detail. The administrative assistant will provide outstanding customer service to the Department Head and campus community by promptly and professionally delivering a wide variety of support services, including email, phone, and in-person communications.
This position is expected to last until June 30, 2024
Minimum Education and Experience
.High school graduate or equivalent.
Preferred Education and Experience
- Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.
- Excellent organizational and time-management skills.
- Proficient in Microsoft Office applications, emphasizing Excel, Outlook, PowerPoint,Word, as well as survey deployment software such as Qualtrics.
- Strong analytical, verbal, and written communication skills.
- Experience with policies and regulations in a higher education setting.
- Detail-oriented and deadline-driven.
- Ability to prioritize and shift focus as needed in a fast-paced environment.
Essential Duties and Responsibilities
- Manage the Department Head's daily and long-term scheduling needs.
- Coordinate travel and process all related expenses while adhering to designated policies and procedures.
- Process purchasing requests for all supplies, materials, and necessary equipment.
- Prepare meeting agendas, reports, and materials for Department Head use as needed.
- Serve as point of contact for requests of time, meetings, and information from the department head.
- Compose routine correspondence.
- Provide daily administrative support as required.
- Collaborate with office staff to meet deadlines and accomplish everyday tasks.
- Assist faculty search committees during the faculty hiring process.
- Maintain a high level of confidentiality with records and information of students, faculty, and staff.
- Composes letters, memos, reports, requisitions, and other material from notes and rough drafts.
- Other duties as assigned.

Remote Work:
This role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
