Position Description The Technical Assistant, Business and Professional Services provides accurate, deadline-driven technical processing and documentation support that enables consistent service delivery across academic divisions and administrative partner offices.

This role completes course section transactions in the college administrative system, maintains official course file documentation for compliance, and supports payroll-related processing and refunds. The Technical Assistant ensures all work is traceable, verifiable, and audit-ready, while providing dependable coverage during peak cycles and compliance deadlines. Responsibilities and Duties (*Essential Functions) To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily.

Reasonable accommodations may be made to enable individuals with disabilities to perform the primary job functions herein described. *Complete course section transactions in the college administrative system for Program Directors, faculty, coordinators, and academic divisions using verified inputs and established procedures *Maintain the official course file documentation set for cross functional divisions and administrative partner offices, ensuring documents are complete, accurate, organized, and audit ready *Maintain timely tracking updates and closure evidence for leadership and partner offices to support traceability and verification *Complete payroll related processing in coordination with Human Resources, verifying required documentation before submission and routing exceptions through established channels *Support refund processing with Workforce Development Registrar and Financial Services by coordinating documentation requirements and completing assigned processing steps *Prepare course packets and certificates for multiple academic divisions for workforce, as assigned and document completion of related actions for verification Deliver course section files to the Workforce Development Registrar with required compliance artifacts following published procedures and handoff standards Identify missing documentation, system issues, or process concerns early and notify leadership support to prevent missed deadlines and compliance risk Communicate clearly with departmental staff and partner offices including Registrar, HR, Business Services, and Financial Services to complete handoffs and resolve issues Maintain confidentiality and handle sensitive student and employee information in accordance with FERPA while completing transactions and documentation control Provide dependable availability during course cycle and audit readiness deadlines and deliver consistent follow through to meet time sensitive processing requirements Provide backup coverage for other Technical Assistant responsibilities during absences and peak workload periods to sustain continuity of operations Qualifications Knowledge, Skills & Abilities Strong attention to detail and ability to follow documentation standards precisely Ability to complete processing accurately and maintain verifiable records supporting compliance and audit-readiness Strong recordkeeping habits and ability to maintain timely updates in shared tracking Ability to communicate clearly with Coordinators, operations leadership, and partner offices to complete handoffs and resolve issues Ability to maintain confidentiality and handle sensitive information in accordance with the Family Educational Rights and Privacy Act Reliability and dependability; consistent follow-through to meet deadlines and maintain documentation integrity, including during peak and audit-readiness periods Requirements Associate degree in a related field One year experience in administrative/technical processing requires accuracy, documentation control, and deadline management Preferences Experience using the college administrative system (for example, Colleague) and maintaining official course documentation files Experience supporting payroll-related processing and refunds with strict documentation requirements As an equal employment opportunity employer, Wake Tech values our workforce.
