Executive Assistant

New York, New York, United States

As an Executive Assistant, you will serve as a trusted partner to senior executives, ensuring the seamless management of their day-to-day operations and helping maximize their effectiveness. You will be responsible for complex calendar management, travel coordination, communications support, meeting preparation, and a variety of administrative and operational functions. This role requires exceptional organization, attention to detail, discretion, and the ability to anticipate needs in a fast-paced, constantly evolving environment. In addition to supporting executives, you will collaborate closely with the broader people team, provide backup support as needed, and serve as a positive ambassador for our culture and values.

To be successful in this role, you are highly organized, proactive, resourceful, and adaptable. You thrive in a dynamic environment, exercise sound judgment, communicate effectively with stakeholders at all levels, and consistently maintain a high degree of professionalism and confidentiality. *Please note, this role will be asked to be in our New York office Monday through Friday.

As the Executive Assistant, you can expect to:

  • Provide administrative support to our Chief Product Officer and Chief Technology Officer
  • Manage a meeting heavy calendar and stay on top of their changing priorities, acting as a gatekeeper and partner
  • Support executive communications and correspondence, ensuring timely follow up and coordination as needed.
  • Prepare executives for meetings by coordinating agendas, gathering materials, and ensuring all relevant information is available in advance.
  • Track action items, deadlines, and deliverables, proactively following up to ensure completion.
  • Assist with planning and coordination of company events, team gatherings, offsites, and employee engagement initiatives.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, itineraries, and logistics.
  • Prepare and submit accurate expense reports in a timely manner and maintain supporting documentation.
  • Facilitate effective cross-functional communication and help remove administrative or operational roadblocks.
  • Partner with people operations and other departments, as needed for event & office management assistance

Pay Transparency

At VTS, we pride ourselves on articulating a clear and transparent philosophy around equitable, impartial compensation that will allow us to recruit and retain an exceptional team. The base salary is market-driven at the time of offer and is based on tier 1 market data. The salary for this role will range between $95,000 and $125,000 and is determined by several factors, including your skills, prior relevant experience, quality of interviews, leveling, and geography.
