Talent Acquisition Specialist - (1341 Warford St, Memphis, TN 38108)

Job Summary
The Talent Acquisition Specialist supports Hollywood Feed's hiring process by managing the administrative, compliance, and system-related functions of the recruitment and onboarding lifecycle. This position partners closely with Regional Managers, Store Managers, and other hiring leaders to ensure requisitions are properly managed and candidates move efficiently through the pre-employment and onboarding process. This role serves as a key point of contact for requisition management, offer administration, background check and drug screening, Motor Vehicle Report (MVR) screening, and new employee onboarding.
Key Responsibilities:
Requisition & Applicant Management
  • Open and manage job requisitions based on staffing requests from hiring leaders.
  • Ensure requisitions remain current and appropriately reflect the organization's staffing needs.
  • Monitor outdated requisitions and identify opportunities to refresh or close positions that are no longer actively being recruited.
  • Assist hiring leaders with maximizing applicant visibility through available job board and recruitment advertising resources like Indeed, ZipRecruiter, LinkedIn, and Glassdoor and career fairs.
  • Prepare, approve, and extend employment offer letters to selected candidates.
  • Ensure offer letters accurately reflect position, employment status, compensation, and other applicable terms.

Pre-Employment Screening Management
  • Initiate and monitor pre-employment background checks through the Company's third-party background check provider.
  • Review and interpret background check and drug screening results and coordinate additional documentation or clarification when necessary.
  • Coordinate with background check and drug screening vendor when issues or discrepancies arise.
  • Assist with adverse-action or dispute processes when applicable.
  • Initiate and review Motor Vehicle Reports for positions requiring Company vehicle operation.
  • Evaluate candidate driving history against Hollywood Feed's MVR eligibility requirements and Company auto insurance guidelines.
  • Review driver's license status, driving history, suspensions, violations, restrictions, and other eligibility criteria.

New Hire Onboarding Management
  • Ensure candidates are properly moved through the appropriate stages of the hiring process.
  • Initiate new-hire self-onboarding tasks following completion of required pre-employment steps.
  • Monitor completion of self-onboarding tasks and follow up with candidates when onboarding remains incomplete.
  • Assist candidates and hiring leaders with onboarding questions and technical issues.
  • Ensure required onboarding materials are completed within established timelines.
  • Activate new hires within the HRIS system once all required pre-employment and onboarding steps have been completed.

Employer I-9 Support
  • Monitor completion of the Employer portion of Form I-9 following the employee's completion of self-onboarding.
  • Communicate with hiring leaders regarding outstanding I-9 requirements.
  • Ensure required documentation is completed within the established timeframe per federal regulations.

Requirements & Qualifications
  • Strong employee relations experience.
  • Experience in Human Resources, Talent Acquisition, Recruiting, HR Operations, or a related field.
  • Strong attention to detail and ability to manage multiple requisitions and candidates simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential employee and candidate information appropriately.
  • Strong organizational and follow-up skills.
  • Ability to work effectively with hiring managers, Regional Managers, vendors, and HR leadership.
  • Strong problem-solving and troubleshooting abilities.
  • Ability to learn and navigate multiple HR and recruiting systems.
  • Proficiency with Google Workspace and HR technology platforms.
  • Ability to prioritize work in a fast-paced environment and meet time-sensitive hiring deadlines.

Physical Demands and Work Environment
  • Able to sit or stand at a desk and work on a computer for extended periods.
  • Physically able to perform the job functions for 8-10-hour workdays with weekend availability.
  • Employees may be required to lift items weighing up to 50 lbs. unassisted, along with bending, kneeling, twisting, reaching, and other physical movements essential to daily tasks.

Education & Experience
  • Must be at least 18 years of age or older.
  • High School Diploma or GED required.
  • 2+ years of Talent Acquisition or Recruitment experience.
