Job description

Position Description
Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.
Major/Essential Functions
Housing Operations and Placement Coordination
  • Coordinate and track housing placements in collaboration with Unit Managers and campus partners.
  • Process housing cancellations, room changes, swaps, and dining plan updates in accordance with policy.
  • Conduct manual placement of Spring and Summer applicants.
  • Assist with the Housing Deferral process.
  • Remove housing holds in alignment with established procedures.
  • Provide official Proof of Residence verifications.
Compliance, Auditing and Data Integrity
  • Conduct internal StarRez audits and special cleanup projects to ensure system accuracy and policy compliance.
  • Assist Unit Managers with StarRez data audits and reconciliation processes.
  • Assist with research and documentation related to ADA and ESA accommodation placements.
  • Maintain strict confidentiality of student records and sensitive information.
Student Communication and Escalation Management
  • Serve as a primary communication point for students regarding documentation, placement status, and next steps.
  • Manage frontline escalations brought into the Welcome Center and provide resolution within scope of authority.
  • Maintain professionalism and student-centered service in high-volume environments.
  • Supervise the Call Center system (CXone) to ensure responsiveness and workflow efficiency.
Operational Support and Team Coordination
  • Serve as a support resource for Welcome Center Ambassadors on behalf of the Section Supervisor.
  • Step into operational support roles during on- and off-campus events, serving as a front-facing representative of
  • the Welcome Center.
  • Assist the Section Coordinator with system oversight and call routing management.
  • Attend staff meetings and participate in committees as assigned.
Scope/Decision-Making
  • Exercises independent judgment within established housing policies and procedures.
  • Makes operational decisions regarding placements, holds, cancellations, and escalations within defined authority.
  • Works collaboratively with Unit Managers, Section Supervisor, campus partners, and compliance offices.
  • Handles confidential student information in accordance with FERPA and institutional guidelines.

Preferred Qualifications
  • Experience working in StarRez or comparable housing management system.
  • Experience with compliance-sensitive processes (ADA, ESA, billing, audit functions).
  • Strong analytical and organizational skills.

Required Qualifications
Bachelor's degree in job related field plus one year responsible experience. Additional specific job related experience may substitute for required education on a year for year basis.

  • Working knowledge of housing management systems (e.g., StarRez) or similar database platforms, with the ability to maintain accurate records and perform system audits.
  • Understanding of institutional policies and procedures related to housing assignments, cancellations, dining plans, and compliance requirements.
  • Familiarity with processes related to ADA and ESA accommodations, including research, documentation, and confidentiality standards.
  • Strong organizational skills with the ability to coordinate and track multiple housing placements while meeting deadlines.
