Job Summary:OSU Office of Global Opportunities (OSU GO) is seeking a Study Abroad Manager. This is a full-time (1.00 FTE), 12-month, professional faculty position.
Position Summary
This Study Abroad Manager position takes the lead role with the development and execution of a suite of 30+ OSU faculty-led programs across the university, and oversees the OSU GO/IE3 Global exchange and study abroad programs in Spain and Latin America. The position holder has extensive responsibility for creating and maintaining robust and high-quality programs and guiding their execution in alignment with university policy, strategy and risk management. The program manager collaborates extensively with OSU faculty, academic colleges, administrative units, external university and logistical partners, and students to develop, implement, assess, and continuously improve education abroad opportunities.
Position Impact
This position plays a critical role in advancing the university's global engagement mission by supporting high-quality education abroad opportunities, increasing student participation in those opportunities, implementing faculty-led programs, and maintaining productive partnerships with institutional partners worldwide. The position contributes to institutional goals related to student success and retention, access to high impact experiential learning, equity, and risk management.
Decision Making/Impact to University:
The program manager is responsible for daily decision making related to the administration OSU GO's 30+ faculty-led programs, as well as for education abroad programs in Spain and Latin America. Decisions made will impact the overall programming and program development, student experience and maintaining of productive partnerships. The program manager works closely with OSU and partner university staff to make decisions about the overall program portfolio, program design and execution, and the management of risk. The position holder is expected to use good judgment in supporting the development and management of faculty-led study abroad programs grounded in industry standards of best practice and institutional policies. Decisions require knowledge of university policy, US and other countries' federal and state laws, and sensitivity to cultural differences and their implications as for students, faculty, and staff. The programs managed by this position are largely self-funding, so budget development and accuracy skills are critical. Errors can compromise student success on programs as well as course and degree completion; they can also jeopardize overseas institutional relationships, student safety, and program financial viability.
Key Responsibilities:
Faculty-Led Program Management (55%)
Lead development of the OSU global portfolio of faculty-led programs on a university-wide basis, meeting institutional objectives for diverse and curriculum-integrated programming in alignment with prevailing standards; take the lead on program process development for faculty leaders and student applicants.
Oversee the development, implementation, and assessment of individual faculty-led study abroad programs in a variety of locations and academic disciplines.
Manage program budgets to ensure accuracy, viability and sustainability of individual programs and overall portfolio.
Guide faculty program directors through the program proposal development stage. Review faculty-led and third-party provider programs to ensure alignment with university policies, risk management standards, and international travel guidelines.
Following program approval, guide faculty through program logistics, budgeting, risk management, student recruitment, and university approval processes.
Advise faculty program directors on risk assessment, emergency planning, incident response procedures, student conduct expectations, and program-specific health and safety considerations.
Recommend and execute programmatic updates and improvements. Guide the administration of programmatic changes, including the addition, alteration or ending of programs. Develop, manage and communicate overall program cost structures.
Develop and deliver student and faculty training on health, safety, emergency preparedness, responsible travel, and risk awareness.
Participate in on-call support and emergency response for education abroad incidents as assigned. Document incidents, maintain case records, and prepare reports for institutional review and compliance purposes.
Coordinate program portfolio timelines, contracts, logistics, enrollment monitoring, and program documentation.
Collaborate with relevant units at Oregon State University to provide student preparation and support for full participation (Disability Access Services, Financial Aid, academic advisors, Educational Opportunities Programs, etc.)
Implement and assess program evaluations and recommend improvements. Collect, analyze, and report program participation and student outcome data.
Ensure compliance with university, state, federal, and international policies and guidelines and study abroad best practices to provide access equity and quality of programming.
Student Advising and Support (20%)
Advise prospective and participating students regarding study abroad opportunities and program selection, including application procedures and funding options. Apply university regulations in cases of withdrawal from programs or student conduct violations.
Work with students one-on-one to develop academic plans, determine program suitability, and to help navigate any personal, academic, or bureaucratic obstacles, needs, or questions.
Assist students in identifying programs that align with academic, professional, and personal goals. Advise students with complex curricular situations.
Monitor progress of participants and support students experiencing academic, health/safety, or personal issues in collaboration with faculty, advisors, OSU student services and overseas partner organizations.
Support students from diverse backgrounds and promote equitable access to education abroad opportunities.
Develop and conduct pre-departure orientations and provide re-entry programming.
Respond to student concerns and complex situations in collaboration with campus partners.
Provide emergency response and student support in coordination with university risk management protocols. Support education abroad risk management and health and safety practices.
Regional Program Coordination (15%)
Lead unit activity for education abroad programs in Spain and Latin America; manage program budgets, exchange balances, and provide general logistical, academic, and personal support of incoming and outbound students.
Oversee the program functions through regular assessment of student interest and experience of the program. Recommend and execute programmatic updates and improvements.
Coordinate communication with faculty members and other stakeholders atOSU and IE3 Global US partner institutions to provide regular updates on program status; seek input on academic program policy and curricular details and solicit ideas for program development.
Work in close contact with administrative and academic personnel and all partner campuses to support students at campus internationalization initiatives and policies. Negotiate contracts with US and overseas partner institutions.
Collaborate with overseas colleagues and partner university staff in all processes and procedures related to student participation including publicity, recruitment, application, screening and orientation.
Collaboration and Team Participation (10%)
Serve as an active member of the Education Abroad team. Contribute to strategic planning efforts, education abroad initiatives, policy development and continuous improvement activities.
Utilizing enrollment and participation data, participate in the development and implementation of recruitment strategies to increase participation in study abroad programs. Co-create and maintain marketing materials, web content, and communication with student and faculty audiences.
Collaborate with academic colleges and campus partners to promote global learning opportunities.
Represent the education abroad office at campus events, orientations, and information sessions.
Maintain accurate records within education abroad management systems and university databases.
Provide information to meet institutional reporting and assessment requirements.
Participate in departmental committees, university initiatives, and professional development activities.
Support office operations and special projects assigned.
Required Qualifications:
Bachelor's degree from an accredited institution in a field relevant to international education.
Three years of progressively responsible professional experience in international education, study abroad administration, higher education, student services, or a closely related field.
Demonstrated experience advising students and supporting student success.
Demonstrated cultural competency with Latin American or Spanish culture(s)
Experience coordinating complex programs, projects, or events.
Excellent written, verbal, interpersonal, and presentation skills for a variety of audiences.
Strong organizational, analytical, and problem-solving abilities.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Experience working effectively with diverse populations and advancing inclusive practices.
Proficiency with standard office software and database systems.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
Preferred Qualifications:
Master's degree in International Education, Higher Education Administration, Student Affairs, International Studies, Public Administration, or a related field.
Experience of higher education best practices, especially managing faculty-led study abroad or study away (domestic)programs in a higher education environment.
Experience with program budget development and management.
Experience living, studying or working abroad in Spain or Latin America.
Experience supporting international risk management, health and safety, or emergency response functions in higher education.
Demonstrated ability to interpret and apply policies, regulations, and procedures and to exercise sound judgment and discretion in handling sensitive information.
Experience with education abroad management software (e.g., Terra Dotta, Via TRM, or similar systems).
Professional proficiency in Spanish or a language other than English.
Occasional evening and weekend work for events and orientations.
Domestic and international travel may be required.
