To excel as a Study Abroad Program Coordinator, you need a background in international education, intercultural communication, and program management, often supported by a bachelor’s degree in education, international relations, or a related field. Familiarity with student management platforms, visa regulations, and travel logistics systems is also essential. Strong organizational skills, empathy, problem-solving abilities, and cross-cultural sensitivity are highly valued soft skills in this role. These qualifications ensure the smooth planning and execution of study abroad experiences while supporting students’ academic and personal growth.
A Study Abroad Program job typically involves coordinating international education experiences for students. Responsibilities may include advising students on program options, managing applications, liaising with overseas institutions, and ensuring compliance with academic and travel policies. Professionals in this field often work for universities, study abroad organizations, or government agencies. Strong communication, organizational, and intercultural skills are essential for success in this role.
Study Abroad Program Coordinators often navigate challenges such as managing last-minute travel changes, ensuring student safety abroad, and coordinating with external partners in different countries. They address these challenges by maintaining flexible plans, staying updated on international travel advisories, and fostering strong communication with both students and host institutions. Effective coordinators also implement thorough pre-departure orientations and maintain a network of resources to support students overseas. This proactive approach helps ensure a successful, safe, and enriching experience for all participants.

Reporting to the Associate Director of Program Management, the Program Manager (PM) is responsible for successful program implementation of the faculty-led study abroad programs in their assigned program portfolio (typically 13-15 programs/year). The PM has a detailed understanding of the Study Abroad offerings in their assigned portfolio and makes critical decisions regarding their programs, while serving as the primary point of contact for faculty directors, students, and key stakeholders, including outside vendors and partners associated with program development and implementation. In addition to management of a portfolio of programs, the PM assists with other Study Abroad-related projects, including faculty training and development, student advising and orientation, DEI (diversity, equity, and inclusion) efforts, and marketing initiatives. The PM is involved with regular program assessment and assists with leading the second level of emergency response within the Study Abroad office. This position has both administrative and management responsibilities and plays a key role in ensuring the success of study abroad program implementation for both students and faculty.

The PM actively participates and shares in team responsibilities, including:
a. Serves as the primary point of contact for any faculty and/or staff associated with study abroad programs in their portfolio, responsible for timely and successful creation of itineraries, logistical arrangements, student advising, marketing, communication, application management, financial and budgetary planning, course registration, program evaluations, etc.
b. Serves as liaison for external constituencies, including international partners, third-party study abroad providers, and vendors associated with each program.
c. Assists with training and development for faculty and/or staff leading study abroad programs, ensuring knowledge of best practices in the field of study abroad, including DEI initiatives, so they can successfully manage their programs.
d. Assists faculty leading programs to countries with travel warnings or safety concerns with adhering to and maintaining compliance with related university policies and protocol.

f. Assists with implementing procedures to identify, assess, initiate, and manage study abroad crisis responses, while ensuring ongoing monitoring for existing and potential crisis situations that may impact study abroad programs.
g. Works closely with all program stakeholders to understand and interpret program goals (e.g. academic goals, intercultural competency goals, operational goals, meeting needs of specific student groups), assists with program assessment to measure program success, and makes recommendations to improve program implementation and better serve students.
2. Program Development
The Program Manager, together with the Associate Director of Program Management and Director, provides consultation to colleges, academic units, and faculty in strategizing new faculty-led program development, based on trends and best practices, with consideration to university goals and practices, while emphasizing access to students traditionally underrepresented in study abroad. In addition, the PM, along with the ADPM, Director, and Global Engagement, contributes to decisions regarding the viability of new study abroad programs and implementation of new program models once programs have received both curricular and operational approval.
3. Additional Study Abroad Responsibilities
The Program Manager will have selected additional areas of responsibility, in both leadership and support roles, related to the operation of the Study Abroad office and the services provided to its stakeholders. Areas of responsibility may include, but are not limited to: scholarships, marketing, website & database management, DEI (diversity, equity, & inclusion), assessment, training & development, special events, student support services, and management of student peer advisors.
The Program Manager may have a supervisory role with respect to one or more student peer advisors, to be determined in coordination with the rest of the Program Management Team.
