Student Accounts Representative – University of Jamestown
Position Title: Student Accounts Representative
Location: Jamestown, North Dakota
Employment Type: Full-time, 12-month hourly staff position, 40 weekly hours

We are seeking a full-time Student Accounts Representative to join our team! The Student Accounts Representative serves students, staff, parents and community members through the Business office, working on a broad array of student service issues, including student accounts, financial aid, veterans’ benefits, orientation, admissions and registration.
The Student Accounts Representative is responsible for the posting of records, billing of student accounts, assessing tuition and fees, receipting monies on student accounts, processing of student billings, collection accounts, and all other clerical duties assigned.

Key Responsibilities:
  • Conducts assessment of student needs and proactively engages students in financial planning related to their college experience; facilitates set up of payment plans for current student accounts; refers student to appropriate college resources.
  • Responsible for student accounts receivable program, including, but not limited to, billing, payment plans, account reconciliations, payment administration, collection procedures, write-offs, bad debt, resolving discrepancies, and communication. 
  • Analyze student accounts for accuracy, resolve discrepancies in a timely manner and ensure the proper posting of all charges and payments. 
  • Maintain and update billing tables in the university’s financial system to assure all revenues are reflected appropriately in the general ledger.
  • Coordinate the accurate preparation and completion of state and federal tax forms and reports including, but not limited to, forms 1098T.
  • Prepare, evaluate, and process student account refunds in accordance with Title IV regulations, federal and state law, and university policy.
  • Manage third-party billings for payment by government entities, employers, and other outside organizations.
  • Utilize discretion in the enforcement and application of university policies, including, but not limited to, holds, collections placements, late fees, policy exceptions, drops, withdrawals, and appeals. 
  • Manage payments and reconcile collections accounts. Maintain knowledge of legal collection guidelines and student privacy act. Transfer of In-House collections to Collection Company as needed.
  • Collaborate with enrollment management, financial aid, registrar’s office, housing, student affairs, academic affairs, finance, and other internal departments to ensure student account accuracy and proper flow of information. 
  • Ensure compliance with all federal, state, local, and institutional laws, policies, and procedures.
  • Consistently delivers service in a professional, efficient and friendly manner; communicate effectively to students, parents, faculty, staff, partners, and other stakeholders via various communication methods.
  • Performs other related duties as assigned.

Working Conditions:
  • Ability to sit for a prolonged period as 75%+ of time is computer-based work.
  • Other duties as assigned.
Qualifications:
  • A high school diploma is required; a Bachelor’s /Associate Degree/Technical certificate or equivalent is preferred.
  • At least two years’ experience in general office/clerical, accounting and customer service.
  • Must pass a criminal background check.
