This role combines project coordination duties with day-to-day operational management, ensuring successful project delivery while maintaining optimal performance of deployed systems. Core Responsibilitiesย 

Project Coordinationย ย 

Implementation Project Managementย 

  • Coordinate software implementation projects from kickoff through go-live and handoff to operationsย 
  • Develop and maintain project schedules, task lists, and deliverable tracking across multiple concurrent implementationsย 
  • Organize project meetings including kickoffs, weekly status calls, UAT sessions, and go-live planningย 
  • Track project milestones, dependencies, risks, and issues; escalate appropriatelyย 
  • Coordinate resources across internal teams (software engineers, integration specialists, support staff) and external vendorsย 
  • Prepare project status reports, financial summaries, and executive dashboardsย 
  • Manage project documentation including requirements, specifications, test plans, and training materialsย 
  • Support change order processing and scope managementย

Financial & Budget Trackingย 

  • Build and maintain project budgets tracking all costs (labor, software, hardware, travel, services)ย

  • Coordinate billing milestone achievement and customer invoicingย

Implementation Activitiesย 

  • Coordinate data migration activities (item masters, locations, inventory, historical data)ย 
  • Schedule and support testing phases: functional, integration, performance, UATย 
  • Organize training sessions for client operations and IT teamsย 
  • Coordinate go-live activities including cutover planning, hypercare support, and stabilizationย 
  • Track post-implementation performance against contracted SLAs and design specificationsย 

Operational Supportย ย 

Daily System Operations Managementย 

  • Monitor production systems for performance, availability, and operational issues across client baseย 
  • Serve as primary operational point of contact for assigned clientsย 
  • Conduct regular operational health checks and system performance reviewsย 
  • Track and analyze daily operational metrics: throughput, accuracy, system uptime, error ratesย 
  • Coordinate resolution of operational issues working with support teams, clients, and vendorsย 
  • Escalate critical issues following defined procedures and SLAsย 
  • Maintain operational documentation including SOPs, troubleshooting guides, and configuration recordsย 

Client Relationship & Support Coordinationย 

  • Build and maintain strong relationships with client operations teams and key stakeholdersย 
  • Conduct weekly/monthly operational review meetings with assigned clientsย 
  • Address client concerns, requests, and escalations in a timely professional mannerย 
  • Coordinate enhancement requests and system optimization initiativesย 
  • Support client training needs for new users, refresher training, and process changesย

  • Act as client advocate internally, ensuring their operational needs are understood and addressedย 

System Monitoring & Performance Optimizationย 

  • Monitor system performance dashboards and operational metrics in real-timeย 
  • Identify trends, anomalies, and degradation in system performanceย 
  • Coordinate performance tuning activities with technical teamsย 
  • Track and report on SLA compliance (uptime, response time, transaction volume)ย 
  • Support capacity planning and scaling activities as client volumes growย 
  • Coordinate preventive maintenance windows and system upgradesย 
  • Monitor integration health between WMS,WES/WCSย ERP, TMS, and other connected systemsย 

Issue & Incident Managementย 

  • Triage and categorize incoming operational issues (severity 1-4)ย 
  • Coordinate incident response for critical production issues (severity 1/2)ย 
  • Facilitate troubleshooting efforts across technical teams and vendorsย 
  • Communicate status updates to clients during incident resolutionย 
  • Document issues, root causes, and resolutions in ticketing systemย 
  • Track issue trends and drive continuous improvement initiativesย 
  • Conduct post-incident reviews and ensure corrective actions are implementedย 

Operational Data & Reportingย 

  • Generate daily/weekly/monthly operational reports for clients and internal stakeholdersย 
  • Create and maintain operational dashboards showing key performance metricsย 
  • Analyze operational data to identify improvement opportunitiesย 
  • Track warehouse performance metrics: throughput, accuracy, productivity, equipment utilizationย 
  • Monitor system performance metrics: transaction volumes, response times, error rates, uptimeย 
  • Prepare quarterly business reviews (QBRs) for assigned clientsย 
  • Benchmark client performance against industry standards and peer operationsย 

Continuous Improvementย 

  • Identify and drive operational efficiency improvements for clientsย 
  • Coordinate implementation of process improvements and system enhancementsย 
  • Support optimization projects (slotting, wave planning, labor standards, equipment utilization)ย 
  • Lead or participate in root cause analysis for recurring issuesย 
  • Document and share best practices across client baseย 
  • Coordinate lessons learned sessions and knowledge transferย 

Vendor & Partner Coordinationย 

  • Coordinate with software vendors (WMS, WCS providers) on support issues and enhancementsย 
  • Manage relationships with equipment vendors for maintenance and supportย

Requirements

Education & Experienceย 

  • Bachelor's degree in Business, Supply Chain, Computer Science, Engineering, or related fieldย 
  • 3-5 years of combined experience in project coordination and operational support rolesย 
  • Experience with software systems in warehouse, distribution, or logistics environmentsย 
  • Demonstrated ability to manage both project work and ongoing operational responsibilitiesย 
  • Experience supporting production systems and handling critical incidentsย 
  • Strong track record of client relationship managementย
